SUMMARY

The Database Coordinator is responsible for the data entry, system maintenance, regular auditing, and stakeholder education related to our key databases in Program Services. Their primary role is to ensure accurate and timely monthly billing for Program Services to State Agencies. This position will enter data, ensure accuracy of existing information, run reports, and assist others with database usage in relation to time & attendance, demographic and case file data.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Primarily responsible for maintaining Program Services databases including but not limited to areas of time & attendance, billing, demographic, contact, and case file information. (Current databases include Paycom, Wellsky, Apricot360).
  2. Primary for submitting monthly billing for Program Services to State agencies.
  3. Ensure accurate completion of data entry in a timely fashion.
  4. Optimize databases for efficiency and quality of data.
  5. Create reports and analyze data patterns.
  6. Proactively audit data entries to ensure quality assurance.
  7. Write and explain standard operating procedures and guidelines for database users.
  8. Track and resolve database user issues and concerns.
  9. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES

This position has no staff supervisory responsibilities.

 

 
Position Requirements

SKILLS REQUIRED

  • Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  • Must possess social perceptiveness to assess and understand other’s reactions and behaviors.
  • Proficient in technology, specifically web-based database programs and data management
  • Attentive to details and deadlines
  • Strong organizational skills and time management
  • Demonstrated ability to manage detailed reports and calculate figures (aggregate/standardize/and augment data sets)
  • Demonstrated analytical, problem-solving and interpersonal skills

EDUCATION AND EXPERIENCE

  • Required: High School Diploma or equivalent.
  • Preferred: Experience working with individuals with disabilities.
  • Preferred: 2+ years of experience in an administrative role
  • Preferred: 1+ years of experience with data entry or database management
