Sacred Heart Cathedral Preparatory (SHC) is a Lasallian Vincentian Catholic, co-educational college preparatory secondary school located in the heart of San Francisco, California. We provide academically rigorous, vibrant learning grounded in social justice and student centered pedagogy. Our entire community is committed to cultivating each student's unique talents and passions, providing myriad opportunities for students to discern and realize their individual intellectual, artistic, athletic, social, and spiritual potential. SHC is a San Francisco Archdiocesan High School that is cosponsored by the De La Salle Christian Brothers, District of San Francisco New Orleans and the Daughters of Charity of St. Vincent de Paul, Province of St. Elizabeth Ann Seton.

POSITION TITLE: Registrar
SUPERVISED BY: Assistant Principal for Academics
FLSA STATUS: Exempt, Full-Time Regular
EFFECTIVE DATE: June 6, 2022

Position Summary:

This 12-month position provides administrative support for SHC’s Assistant Principal for Academics, facilitating an effective student-oriented campus environment, especially in regard to academic and demographic record keeping and communication.

Essential Responsibilities and Duties:

The registrar

  • Models for students the characteristics of a Lasallian/Vincentian educator;

  • Supports the achievement of SHC’s mission, philosophy and student outcomes;

  • Maintains student records and permanent files including demographic data, academic status, grades, GPAs, standardized test scores, and school enrollment data, ensuring the confidentiality, accuracy and timeliness of all information;

  • Manages official correspondence regarding records, including facilitating requests for transcripts via Parchment and assisting with academic budget record keeping;

  • Collaborates with administration and other departments at SHC to oversee seamless flow of student information, especially with the Director of Studies, the PowerTeacher Support Coordinator, the SHC Counseling and Advising Department, the Admissions Office, the Advancement Office, and program directors;

  • Facilitates graduation and academic recognition ceremonies, in collaboration with the Principal and Assistant Principals;

  • Serves as official liaison for reporting all academic information to outside agencies such as the universities, federal, state and local governmental agencies, the Daughters of Charity Foundation, the Lasallian Education Corporation, the archdiocese, scholarship organizations, etc;

  • Archives student records after students graduate and oversees permanent archiving of entire school transcript record;

  • Assists with other duties as assigned.

Position Requirements

Required Qualifications: qualified candidates must

  • Have a high school diploma;

  • Be highly proficient with databases, including Microsoft Office suite (primary focus on Word and Excel), PowerSchool or comparable student information system, and Google Workspace;

  • Demonstrate initiative and the ability to effectively manage multiple tasks concurrently;

  • Be able to maintain strict confidentiality;

  • Show consistent attention to detail and organization in all aspects of work;

  • Be collaborative and service-oriented with excellent communication skills, both written and oral.

Desired Qualifications:

  • Experience in a registrar’s office or other school support setting or customer relations;

  • Bachelor’s Degree.

Education and/or Experience:

  • Experience in a registrar’s office or other school support setting or customer relations;

  • High school diploma; undergraduate degree preferred.
