SUMMARY

Reflecting the spirit and vision of the Founders, the Reservations Coordinator fields all telephone calls and email inquiries while conveying the image, style, and substance of Opus One. The Reservations Coordinator is responsible for booking all consumer reservations, provides administrative support as needed for Guest Relations and assists with customer service follow-up. Some assignments may involve work of a confidential nature.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Reservations (70%)

  • Answer all inbound calls in a professional, courteous, and hospitable manner.
  • Receive all incoming calls for executive and managerial staff and forward the call to the individual or their voicemail in a timely manner.
  • Manage high volume of calls for consumer tasting reservations from Opus One’s prospective guests that come in via phone or email.
  • Support Trade Reservations Specialist as needed and assist guests of the trade via phone and email in her absence.
  • Retrieve incoming messages and website inquires each morning and promptly respond or deliver to appropriate individuals.
  • Responsible for returning all calls and/or emails within 24 hours.
  • Respond to inquiries from the Opus One website by developing and maintaining a list of templates/signatures to respond to pertinent questions quickly, efficiently and courteously.
  • Speak concisely and knowledgeably about all Opus One representatives, distributors, retailers.
  • Forward any/all questions regarding vintages offered for sale at the winery or anywhere in the world to the Guest Relations Supervisor, so he can answer any questions about Opus One or related merchandise to better assist the customer in the selection of wine or wine-related items.
  • Communicate with the Concierge/Estate Greeter via Teams daily notifying them of pertinent guest details (i.e., running late, one less guest, etc.)
  • Act as a source of information on general questions regarding the winery in a timely manner so as not to keep other guests waiting for assistance.

Administrative Duties (30%)

  • Enter all reservation details in Commerce 7 with accuracy and detail. (Name, address, credit card, guest names with spelling, allergies if booking an experience that includes food, etc.).
  • Note any/all special occasions being celebrated in the reservation (birthday, anniversary, etc.)
  • Assist Concierge in printing celebratory cards and deliver to Concierge every morning.
  • Assist Concierge in printing menu cards for Partner’s Room experiences (Opus One Experience, Art of the Table, lunch, dinner, etc.) with accuracy including guest names, date, wine vintages, menu, as well as alternative menu if guest has known allergies. Deliver menus to Guest Relations Supervisor at least 30 minutes before guest arrival throughout the day.
  • Produce and maintain inventory of customer information cards and deliver to Concierge on a regular basis.
  • Produce custom presentation materials for selected multi-vintage tastings (i.e. vintage placemats for production or trade tastings, menu cards, etc.).
  • Assist the Special Events Supervisor with event projects as needed (menus, place cards, etc.)
  • Assist the Vice President of Communications, Director of Hospitality and Guest Relations staff by performing administrative tasks as necessary.

Work Days

  • Thursday-Monday, 8:30am – 5:00pm
 
Position Requirements

JOB REQUIREMENTS

Education and/or Experience

Minimum high school diploma or GED required; college preferred. Must have at least three years previous experience in a receptionist/administrative position; foreign language skills are a plus.

Skills

Excellent command of written and spoken English. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public. Computer skills with knowledge of Microsoft Word and Excel required. Employee must exhibit good judgment in dealing with all types of people. Must be able to understand people clearly over the phone and be able understand foreign accents. Ability to calculate figures and amounts such as discounts, commissions, and percentages. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands

While performing the duties of this job, the employee is regularly required to type and be in front of a computer screen. The employee must have the ability to be in a stationary position for up to four (4) hours. The employee is occasionally required to move around to get to places and taste or smell for tasting experiences. The employee must occasionally move up to 40 pounds. Specific vision abilities required by this job include close vision.
