The position of Payroll Specialist requires the following:

  • Proven experience in a payroll specialist or payroll assistant role
  • Solid understanding of accounting fundamentals and payroll best practices
  • Excellent attention to detail
  • Possesses mathematical and calculation abilities
  • Excellent verbal and written communication
  • Works well independently and in team environment
  • Knowledge of various payroll software systems
  • Multi-tasker, good time management skills, well organized

Description

Job Summary

The Payroll Specialist is responsible for processing all aspects of payroll, including consolidating timesheet information, weekly entry of timecards into payroll databases, creation of certified payroll reports, performing basic calculations, and verifying data. This position works closely with different departments to increase performance and ensure smooth operations. The Payroll Specialist will monitor and maintain prevailing wage rates, to make certain we remain in compliance with state and federal regulations.

Key Responsibilities

Core responsibilities for the position are as follows:

  • Verify for accuracy and process entry of time and attendance records. May include checking and auditing timekeeping records (MJob time) for compliance against established standards
  • Monitor and update Federal and State prevailing wage rates in RMC system
  • Manage the preparation, submission, and labor compliance of all certified payroll reports for prevailing wage projects
  • Prepare CPR packages for clients for verification of correct pay rates
  • Process weekly reports for all PW jobs including upload of CPRs to the DIR website
  • Manage and create invoices for training fund payments
  • Provide backup support to Payroll Supervisor in his/her absence
  • Weekly processing of payroll taxes including quarterly and annual payroll tax filing
  • Working with staffing agencies to provide correct rates to use for our jobs
  • Update existing determinations into established RMC system as new rates are released; add new pay determinations as they become available
  • Handle apprentice requests when applicable; completing forms and submitting to agencies as required
  • Apply established knowledge of payroll rules and regulations
