Description

JOB SUMMARY: This position supervises and coordinates the activities of clerical and administrative support workers in the Delaware House cluster of programs and provides clerical support for the Delaware House department/program. Also, assists the Behavioral Health Service Area Director in the overall management of all BHS programs.

ESSENTIAL FUNCTIONS:

Delaware House

  1. Recruit and select clerical/administrative employees in the Delaware House program.
  2. Supervise the work of office/administrative employees in the Delaware House programs
  3. Oversees the billing processes for the Delaware House Partial Care Program
  4. Manages accounts payable associated with the Delaware House Partial Care Program
  5. Provide employees with guidance in handling difficult or complex problems and in resolving escalated complaints or disputes
  6. Implement agency/department policies and procedures in conjunction with management
  7. Train and instruct employees in job duties and arrange for other essential training to be provided
  8. Evaluate employee job performance and discuss problems to identify causes and work on resolutions
  9. Prepare and analyze statistical reports
  10. Answer customer questions and resolve complaints
  11. Compose and type correspondence, reports, etc.
  12. Answer and direct calls
  13. Assist with projects, as assigned by management

Behavioral Health Services

  1. Tracks and consolidates all reports made to payers of BHS services including State, County, Federal, and private contract holders. Coordinates with BHS directors to ensure that reports are made timely and reports to the Service Area Director on the status of all reports.
  2. Works with the BHS Directors to compete the Quarterly Census Monitoring Reports for all BHS programs.
  3. Tracks and consolidates all internal reports to Catholic Charities Diocese of Trenton including, but not limited to, Incident Reports, Quality Assurance Plans (Logic Models), quarterly chart reviews, CCUSA reporting, and any other reports requested by the Service Area Director.
  4. Runs weekly reporting from the EHR to provide the Service Area Director with up to date information on the performance of all BHS programs, including but not limited to program census reports, productivity reports, billing suspense and firewall repots, and other reporting requested by the Service Area Director.
  5. Provides administrative support to the Service Area Director as needed.

KNOWLEDGE/SKILLS/ABILITIES: Extensive knowledge of business and office administrative processes. Excellent verbal and written communication skills. Competency in a variety of computer software applications. Analytical ability to gather and summarize data for reports, find solutions to various administrative problems and prioritize work. Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

Position Requirements

MINIMUM QUALIFICATIONS:          HS diploma/GED + five years experience (2 yrs in a supervisory capacity) as an executive assistant or office manager responsible for ensuring coordination of a work team to meet goals, objectives and deadlines OR AA/AS degree in related field + three (3) years of experience listed above.
