PART-TIME Office Assistant

Provides administrative and classroom support to the Manager of Administrative Service and Head Start and Early Head Start Support Staff. Performs all switchboard functions, receive guests and separate daily mail.


  1. Answer multi-line phone lines. Gives accurate and pertinent information.
  2. Greets staff and check temperature, parents, and visitors upon arriving and departure from the office. Gives courteous attention.
  3. Checks voice mail in general mailbox and relays messages to appropriate staff.
  4. Keeps Office areas neat and organized. Maintain clean, inviting space for visitors – (swiping the reception area on the administrative side daily)
  5. Receives and distributes all mail, packages and deliveries and collecting packing slips
  6. Prepares packages for delivery via Fed-Ex.
  7. Coordinate transfer and disposal of records as per the retention schedule and policies are carried out effectively.
  8. Schedule all events on our conference/training rooms. (Helpdesk Tickets-Meeting Space)
  9. Monitor and maintain office & cleaning supplies inventory. (collaborate with cleaning crew and keep inventory)
  10. Help maintain all copiers – order supplies, change toner, clear jams, and basic support.
  11. Maintain the extension list and center list for the agency.
  12. Assist with Data entry for mailing list, graphic design
  13. Assists in the coordination of Office-related contracts & services involving maintenance & repairs, janitorial services, copy machines, mailing equipment, etc.
  14. Assist with the organization and implementation of special events.
  15. Ensure breakroom, meeting/training/conference rooms are clean and fully stocked.
  16. Assists applicants/clients with paperwork prior to scheduled interview or LiveScan.
  17. Develops visual and audio presentation materials as requested.
  18. Assist with HelpDesk tickets for food ordering, graphic design, hotel reservations, meeting space reservations.
  19. Proofread materials, correcting for sentence structure, spelling, grammar, and punctuation.
  20. Ability to provide classroom coverage as needed.
  21. Assist Directors while visiting Skylark or working remotely.
  22. Assist Manager of Administrative Services in performing duties necessary to maintain the success of ECS.

  • This position reports to the Manager of Administrative Services.
Position Requirements


  • Associates degree preferred
  • 1-3 years related administrative experience
  • DCF 45-hour training required

(A comparable amount of training, education or experience can be substituted for minimum qualifications.)


  • Excellent people skills and ability to work well with a broad range of people
  • Ability to communicate effectively both orally and in writing
  • Ability to answer multi-line phone system in an appealing manner and direct phone calls accordingly
  • Ability to multi-task, prioritize and work in a fast-paced environment
  • Knowledge of Microsoft Office products
  • Ability to perform with little direct supervision
  • Ability to work with employees and the public in a tactful and professional manner
  • Ability to exercise good judgment and emotional maturity
  • Ability to maintain confidential information
  • Ability to plan and organize work as well as maintain records and prepare reports


  • Valid driver’s license
