Duties shall include, but are not limited to the following:

  • Build lines in AIMS to set up travel, (visas if required), hotels, rental cars, ground transportation, and provide this information and station contact information to personnel as required. Maintenance coordinator will accomplish this for TUL MX Directors and Managers, Stores, Quality Control/Inspection, Heavy Maintenance, Base Station personnel, Maintenance Training, Attendees of maintenance classes, and contractors. Notify personnel of information by email, including address and phone number of hotel and Ground Company.
  • Create a schedule daily by adding qualified base mechanics to aircraft and by verifying crew stops and qualifications on OAI routes for flight mechanics.
  • Complete schedule 11 days out and have schedule reviewed by another Coordinator. Build lines at least 9 days out.
  • Run the Gen Dec Daily to ensure the mechanics are loaded on the appropriate OAI flights.
  • Run a validation report every morning, check violations, look at schedule to make appropriate changes if needed.
  • Run a ground report every morning to ensure the staffing at stations for aircraft down time. Take note of schedule checks and staff them appropriately.
  • Generate letters to stations requiring FBI case #s for badging, for mechanics to receive more pages in passport, and to relieve mechanics from Jury Duty when needed.
  • Attach and update all mechanics badges in AIMS and in appropriate spreadsheets. Make mechanics aware of badges expiring.
  • On the 4th and 20th of each month, print and record all expense reports then have them signed, approved and deliver to payroll.
  • On the 20th of each month, publish in AIMS so the mechanics can view their ECrew.
  • Maintain phone list for Tulsa and base stations.
  • Maintain mechanic files and logs i.e. rental car tracking
  • Document and/or verify per-diem, vacation, extra days worked, overtime sheets, hourly sheets and contractor times. Take to appropriate Director for approval. Send to Payroll.
  • Document incoming credit card receipts, match, attach, code and approve transactions.
  • Monitor Mechanics for being on time with sending in MasterCard and American Express receipts.
  • Brief New Hires Mechanics on: Schedule, Credit Card report forms, Expense report forms, Per-diem, AT&T phone card, CAC, and ECrew. Explain policies and procedures and email links to all necessary forms.
  • Issue and disperse uniforms for new employees, submit information for AIMS entry, email addresses, and distribution lists, as well as distributing shot information and bag tags.
  • Order AT&T, Visa and Mastercards for mechanics.
  • Maintain a list of all items issued to maintenance and stores personnel.
  • Collect all items from personnel leaving company by using a checklist. Notify Human Resources and Payroll of all items collected so that final check can be processed.
  • Order and maintain stock, and issue uniforms and badge holders for maintenance department.
  • Create, organize, and maintain spreadsheet of uniforms in Annex and Annex itself.
  • When Overtime and/or Vacation requests are received, grant or deny based on staffing and schedule.
  • Make required personnel entries into the AIMS computer program, track all travel in AIMS, and update when required.
  • Perform other such duties as assigned by Manager and Director of Maintenance.
  • Deliver/take company mail for Directors out box daily and open company mail addressed to the Coordinators
Position Requirements

• Strong organizational skills
• Excellent computer skills with Microsoft products
• Good communications - both written and oral
• Ability to self-manage time and duties

• High school Diploma or GED
• Prior maintenance experience desirable

• Ability to compose outlines, memoranda, and basic reports
