About the Center for Policing Equity:

Position Description:

The Center for Policing Equity (CPE) is looking for a skilled Administrative Assistant (AA) with a passion for social justice issues. This position will report to the Vice President, Development and works in a collaborative effort with the Senior Director, Development and Development team. The AA will provide management of the VP and Senior Director's calendars, coordinate internal and external meetings and events, and guide follow-up correspondence and task execution. The AA may also be called upon to lead special projects, material creation, and other duties depending on skills and interest.

The Administrative Assistant position requires an administrative professional with high attention to detail, excellent communication, and coordination skills, the ability to problem-solve and independently prioritize work, the ability to anticipate the needs of the VP and the team. The AA must possess fluency or ability to develop fluency with work process tools used by the team, including Zoom, G-Suite, Salsa/Salesforce, Asana, Slack, SPLASH and others.

Key Responsibilities:

  • General Administration:

    • Coordinate meetings for the Development leadership. This includes all logistics and scheduling for conference calls via Zoom and in-person meetings.

    • Create agendas and organize collateral materials for meetings.

    • Note-taking and other support tasks for Development meetings.

    • Provide assistance and information as needed for fundraisers and events.

    • Provide general administrative support to the Senior Vice President and Senior Director as needed.

  • Submitting reimbursement forms and compiling receipts for VP of Development and Sr. Director of Development as requested.

  • Provide general support of special events and retreats as needed

  • Ability to manage multiple assignments, set priorities, and adapt to changing conditions.

  • Be a results-driven achiever with excellent organizational skills

  • Must be an exceptional listener and communicator who effectively conveys information verbally and in writing

  • Have stamina, drive, and perseverance to handle pressure well

  • Must be willing and able to resolve problem situations

  • Support for the Development Team

    • Enter information into the donor database for the VP and Sr. Director

    • Management of task completion during unscheduled ('maker') time for VP and Sr. Director of Development

    • Support all program staff with the use of platforms and tools, including Asana, G Suite and team shared folder, Salesforce, Zoom, SPLASH and Slack. This may include upload of materials and content entry (as needed)

    • Prepare donor acknowledgment letters, including the import of new letter templates (as needed)

    • Complete required forms to ensure timely processing of donations or proposals for the VP and Sr. Director

    • Contribute to planning and execution of fundraising campaigns (as needed)

    • Take notes in donor meetings and create summaries of meeting content for the VP and Sr. Director

  • Donor Communications Support

    • Serve as the main point of contact for inquiries to the Development Department, fielding the switchboard phone messages and facilitating donations and cancellations with other members of the team

Qualifications:

  • Experience with Salsa/Salesforce preferred

  • Previous non-profit organization development preferred

  • Ability to work independently and collaboratively

  • Strong written and verbal communication skills

  • Superior attention to detail and organizational skills

  • Proactive in surfacing problems and finding solutions

  • Comfortable taking initiative and 'managing up' to move tasks forward

  • Passionate about social justice issues

  • Confidence using business productivity and task management platforms

  • Proficient in G Suite, specifically Gmail, Google Calendar, Docs, Sheets, Slides, and Forms

  • Ability to learn and become fluent in Asana, Salesforce, Zoom, and Slack

Requirements:

  • Associates or Bachelor's degree preferred

  • Experience as an Executive Assistant, Administrative Assistan, or similar role

  • Experience working with databases and fundraising events; or a combination of education and experience
