Frontline Services Assistant – Business Services

Definition and Purpose
The Frontline Services Assistant in the ASI Business Office assists in the management of the reception area and performing customer service functions. The Frontline Services Assistant handles a high volume of diverse requests and is expected to be a resource to all customers. The emphasis of this position is providing outstanding customer service in ASI’s corporate office.

Educational Requirements and Qualifying Experience
- Must be a currently enrolled student at Cal Poly with a minimum of 6 units. All ASI student staff must have a minimum cumulative GPA of 2.0 at Cal Poly. Graduate students must carry 4 units/3.0 cumulative GPA at Cal Poly.
- Ability to be highly organized and have good planning skills.
- Excellent oral and written communication skills
- Previous general office or clerical experience preferred.
- Reliable, self-motivated and works well with minimum supervision.
- Ability to perform multiple tasks simultaneously.
- Awareness of safety concerns and risk management
- Experience working with high volume, fast-paced environment.
- Previous customer service experience preferred.
- Knowledge of Microsoft Office with experience in Word and Excel.
- Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere.
- Ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds, specific needs, or limitations.
- Experience in cash handling and basic accounting functions preferred.
- Ability to make routine decisions based on specific criteria/guidelines.
- Ability to be flexible and adapt to change.
- Ability to have a high level of attention to detail.
- Ability to work cooperatively with others or independently, as the situation requires.
Supervisory Responsibilities
Essential Duties and Responsibilities
- Maintain a welcoming environment for ASI’s corporate office.
- Greet visitors and coordinate appointment logistics.
- Answer phones and greet customers while providing outstanding customer service.
- Manage calendar reservations for two conference rooms.
- Manage reservations for ASI vehicles and issue keys.
- Order office supplies for two offices
- Input data from payment request forms
- Distribute reimbursement checks.
- Distribute mail.
- Process cash, check, and credit card payments in Point of Sale
- Handle confidential information according to ASI policies and procedures.
- Keep accurate records and ensure accurate data entry.
- Provide positive public relations, program promotion and policy education to staff and customers.
- Adhere to ASI departmental policies and procedures.
- Provide general office assistance.
- Prepare documents using Microsoft Word and Excel
- General office assistance (word processing, filing, mailing, copying).
- Ensure that financial paperwork submitted includes the information necessary for processing, as required.
- Attend all mandatory meetings and trainings.
- Keep work areas neat and organized.
- Assist with special projects.
- Maintain familiarity with safety and evacuation plan for work area.
- Other duties as assigned.

Other Duties and Responsibilities
- The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
Period of Employment
Employment with this organization is of an "at will" nature, which means that the employee may resign at any time and ASI may discharge the employee at any time with or without cause.
Compensation and Hours
Pay Rate: $15.00 per hour; maximum 20 hours per week.
This position has an anticipated start date of June 1, 2022. Summer availability is required and the schedule is daily from 10:00am - 2:00pm.
