Position Summary:

Often as the first point of contact for a potential client, the Catering and Conference Services Coordinator must possess a professional demeanor and ability to handle requests promptly and accurately and be the communication hub for your team. You will ensure proper communications are sent and received within your department but also to the guest, other departments and vendors.

Responsibilities also include department administrative tasks running smoothly, which allow the catering sales and catering service team to focus on booking business and detailing events. In administrative/clerical duties, you will also assist with generating reports and distribution of Banquet Event Orders and other reports as assigned.

Essential Functions:

  • Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.
  • Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Staff Meeting, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, and Planning Site Visits.
  • Ability to handle multiple guest and operational demands with a high degree of professionalism, operating often with time sensitive deadlines.
  • Creating BEO’s for In House Events.
  • Assist with closing billing.
Position Requirements

Qualifications / Special Skills:

Prior experience in the food service industry and the lodging industry is a plus.

Administrative and coordination experience preferred.

Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, Outlook, Delphi is required.

Financial management skills are crucial for a catering coordinator.

Proven track record of relationship building to provide a high level of service.
