Summary of Position:

This individual works in conjunction with the Client Service Manager in overseeing the daily operations of the Center for Women & Children (CWC) and the 24/7 resident assistant (RA) staff coverage. They manage, supervise, and train 24/7 resident assistant staff and volunteers.

 

Supervisory Responsibilities:

This position directly supervises the Resident Assistants, Associate Staff, and Volunteers.

 

Duties & Responsibilities:

Key Result Area #1: Leadership & Management

  • Assist the Client Services Manager in staffing the RA team, including hiring, correction, and disciplinary action.
  • Prepare and maintain weekly RA schedule, ensuring 24/7 coverage. Need to be willing to cover shifts as needed.
  • Approve RA payroll hours weekly - ensuring hours, sick leave, and vacation time are accurate for payroll.
  • Train, empower, and equip resident assistant staff and volunteers to know and practice UGM’s Core Values and ensure they are applied and practiced throughout CWC.
  • Provide regular scheduled RA team meetings to build team cohesiveness for training purposes and support.
  • Conduct one-on-one meetings with hired RA staff; document progress in their PDP at least once a month.
  • Supervise and teach RA staff how to participate in the Outcome-Based Management Process including SWOTs, PDP, and one-on-one meetings.
  • Ensure each staff member has a current job description and is aware of their assigned responsibilities.
  • Ensure new RA staff members receive a condensed safety orientation and are aware of all emergency procedures.
  • Meet weekly 1x1 with the Client Service Manager.
  • Report all critical activities including staff and operations within the RA department to the Client Services Manager.
  • Notify the Volunteer Coordinator of any changes involving RA volunteer staff.
  • Oversee the RA team’s daily tracking of resident statistics using Waypoint.
  • Work closely with the Maintenance Supervisor and his team to ensure that the house is kept to CWC standards.
  • Attend All Staff meetings and weekly CWC treatment team meetings as assigned; represent the RA team and communicate highlights.
  • Participate in UGM’s best practices of addressing and resolving conflict amongst team members, volunteers, and residents.
  • Partake in Focus, Accountability, and Truth-In-Love meetings as needed.
  • Collaborate with the Client Services Manager and program team on policies and procedures for residents of CWC
  • Ensure all RA staff participate in and are knowledgeable of the Outcome-Based Management Process, i.e., SWOTs, PDPs, and one-on-ones.

 

Key Result Area #2: Daily Operation / House Facilitation

  • Complete, maintain, and update administrative and assorted computer tasks (i.e. database updates, class rosters, stats).
  • Correspond with the maintenance department by facilitating requests for maintenance, to ensure a safe and clean facility.
  • Work in conjunction with the Client Services Manager in overseeing the facility and furnishings, maintaining cleanliness and functionality.
  • Ensure resident rooms are cleaned to standard, before, during, and after residency.
  • Submit all IT requests and assist with in-house issues when needed.
  • Be aware of any safety or security issues and address them promptly.
  • Empower volunteers and associate staff to take functional ownership of their assigned area.
  • Assist as needed in resident move-in and move-out process.
  • Oversee drug and alcohol screening of residents.
  • Conduct daily check of drug screen results on the Millennium Health site.

 

Skills & Qualifications:

  • Computer literate with a high proficiency using Word, Excel, Outlook; able to complete documents, and reports and accurately record information.
  • Excellent communication skills: written, oral, and instructional.
  • Prove to be teachable: organized with the ability to work as a team and individually; able to listen and follow instructions.
  • Show ability to listen empathically, respond appropriately in emotional situations and resolve difficult resident-related issues in an understanding way with the goal of maintaining relationships.

  • Work is primarily indoors. It requires climbing stairs, walking, sitting, standing, bending, and reaching - Continuously

Equipment/ Tools Used:

  • Computer skills; Microsoft Office, Excel, Word, and email
  • Copy / Fax machine

 

Education/ Experience:

  • High School Diploma/GED
  • Preferable 2+ years working with homeless families
  • Experience using computers, multi-line phone system, excellent interpersonal skills, Microsoft office including excel and word.
  • Experienced in de-escalation training
