Essential Functions:
· Performs a variety of administrative tasks such as: answer telephones, assist guests, take banquet reservations and messages, type correspondence and catering related forms, event signage, and minutes for communication meetings. Also types banquet menus for parties, place cards, name cards, and table tents.
· Processes deposits and prepayments and handles related billing matters such as copying and typing invoices and forwarding to Accounting
· Copies, routes and/or distributes reports, schedules, menus, mail, customer/guest evaluation forms and thank you letters. Tracks information for reporting purposes
· Orders office supplies and maintains par. Responsible for making wedding and meeting packet sets. Files miscellaneous reports, schedules, letters, memos, and minutes.
· Provides administrative coverage for the Business Center as needed.
· Responsible for miscellaneous projects such as revising and updating banquet menus, sending out updated menus to banquet clients as needed, assisting in coordinating bridal showcase (when and if held on hotel property), ensuring ample menu packets are made, vendor letters, coordinating printing of wedding brochure, etc.)
· Book all in house related events as requested by other departments which include training sessions, meetings, Inductions, monthly Department Heads meeting, quarterly Po’okela lunches, employee children’s Easter & Christmas parties, Annual Health Faire, Employee Holiday party, Hawaii Hotel & Lodging Association events, hotel guest activities, and all other events as requested.
· Perform any other duties as assigned by the Director of Catering
· Regular attendance is required for this position.
Education/Training Requirements:
- High School Diploma or General Education Diploma required.
- College degree in Business Administration preferred.
- Japanese language skills preferred.
Experience/Skill Requirements:
- One (1) to two (2) years clerical or general office experience preferred.
- Previous experience in a first-class, medium to large resort preferred.
- Previous food and beverage experience preferred.
