Administrative Coordinator Specialist - (Gibsonia, PA) 

Description

This person will be responsible for but not limited to the following:

Essential Functions and Duties:

  • Accomplishes the required work independently by gathering and organizing required information, maintaining required records, evaluating various approaches to completing projects, developing tools and utilizing available resources to achieve desired outcomes, exercising judgment to make decisions, and assuring effective communication with stakeholders.
  • Write up work tickets and data entry of daily sales tickets into the company’s software.
  • Responsible for updating A/R collection spreadsheet on public drive and customer cards within the company’s software regarding weekly collection calls.
  • Receive, review and process receiving tickets for Accounts Payable.
  • Order signs for the sign shop and other supplies with vendors.
  • Provide data entry into accounting system from daily unloading slips. Prints and files related reports.
  • Process Purchase Order Recipts
  • Account Payable and Receivable support for the office
  • Notifications to local county and city officials about road closures
  • Back-up for front desk duties including, greeting walk-in customers, answering phones and mailings.
  • Assisting the Contract Administrator in the initial set-up of projects.
  • Assisting in the reconciliation and transfer of inventory.
  • Providing support to the Material Sales Invoicing Specialist.

 

Requirements

  • General filing
  • Basic knowledge of accounting procedures.
  • Review and prepare documents. Must be proficient in Microsoft Outlook, Word, and Excel.
  • Background in AP/AR preferred, as well as the ability to multi-task in a fast-paced environment.
  • Provide operations support and documentation support for Managers
  • Coordinates or provides services or specialized, detailed information to others by having an in-depth understanding of the body of knowledge related to the information or service provided,
  • Assisting in the reconciliation and transfer of inventory.
  • Routing and filing of AP documents.
  • Providing support to the Material Sales Invoicing Specialist.
  • Assisting the Contract Administrator in the initial set-up of projects.
  • Back-up for front desk duties including, greeting walk-in customers, answering phones and mailings..
