Job Summary

eCatalyst Healthcare Solutions' ('eCatalyst') Coding Manager is a leader who oversees the day-to-day operations of coding leads, coders and other team members who serve eCatalyst's clients.

The Coding Manager is responsible for the day-to-day management of teams of inpatient, outpatient, and professional fee coders who serve eCatalyst's clients nationwide. The type of coders managed vary by client. The Coding Manager provides effective leadership and support to coders and clients to meet or exceed company and client goals and key performance indicators (KPIs).

Job Responsibilities

Leadership:

  • Provides leadership and daily management to the team that mirrors the mission, vision, and values of eCatalyst. Ensures team members uphold eCatalyst's mission, vision, and values.
  • Manages coding teams that serve multiple clients and may include inpatient, outpatient, and professional fee coders.
  • Collaborates with offshore partners to ensure services delivered meet the contracted service level agreement (SLA).
  • Responsible for ensuring staff meet compliance, quality, and productivity standards and KPIs.
  • Identifies, interviews, evaluates, selects, and onboards new coders in conjunction with eCatalyst's Human Resources department, the audit department, and the client.
  • Provides ongoing performance feedback and coaching to staff. Documents employee work performance on a routine basis, and if necessary, initiates the disciplinary action process in conjunction with human resources.
  • Works closely with internal audit to monitor and evaluate coding accuracy and swiftly implements corrective action when required. Audits accounts if necessary.
  • Identifies and solves moderate to complex problems related to coding, CDI, and other reimbursement activity workflows. Optimizes staffing efficiency by minimizing workflow issues to meet goals, KPIs, and SLAs.
  • Identifies, tracks, and reports key barriers and process defects to the VP of Operations, identifies solutions, and works with the client to optimize processes as requested.
  • Continuously evaluates resource allocation and identifies long and short-term needs. Works with coding and audit leadership colleagues and the corporate team to ensure appropriate staffing.
  • Maintains an effective meeting rhythm with coding teams. Effectively communicates client and company information on a routine basis. Conducts 1:1 meetings with staff. Attends and actively participates in company team and leadership meetings.
  • Responsible for ensuring staff are working reported hours and payroll entries are correctly recorded daily to ensure accurate and timely payroll processing.
  • Promotes employee engagement, enhanced moral, productivity, retention, and a culture of teamwork and respect.
  • Provides ongoing coaching and development of staff to help them achieve their professional aspirations and meet company employee satisfaction and retention goals.
  • Maintains current knowledge regarding coding guidelines, payer policies, OIG work-plans, and industry trends.
  • Serves as a subject matter expert on coding, revenue cycle, CDI, compliance, payor requirements, etc.

Client Management:

  • Responsible for consistently delivering eCatalyst's brand promise 'Exceptional services delivered with unrelenting client focus.'
  • Responsible for meeting client quality, productivity, turnaround time, satisfaction, and other service level agreements (SLA's) and KPI's.
  • Successfully onboards new clients by developing and executing onboarding plans in conjunction with the client, human resources, audit, and other eCatalyst corporate and operational teams.
  • Collaborates with the client's key stakeholders including coding, revenue cycle, clinical documentation improvement (CDI), compliance, information technology, finance, etc. to ensure exceptional delivery of eCatalyst services.
  • Monitors client's CFB, DNFC, etc. and ensures eCatalyst is meeting or exceeding expectations and SLAs to meet client goals.
  • Develops and maintains positive relationships with clients, including the C-Suite, directors, managers, client coders and auditors, and staff at all levels of the client's organization.
  • Establishes and maintains a meeting rhythm with clients and documents and acts on meeting takeaways.
  • Takes immediate and effective action to resolve client issues and reduce risk. Communicates issues and risk to the VP of Operations in a timely manner.
  • Identifies service delivery and client experience opportunities for improvement and takes action to implement improvements.
  • Assists with the development and delivery of monthly business reviews (MBR) and/or Quarterly Business Reviews (QBR) to clients.
  • Looks for opportunities to provide additional services to clients and communicates opportunities to the VP of Operations in a timely manner.
 
Position Requirements

Minimum Requirements

  • Associates Degree with an emphasis in Health Information Management (HIM), business, or similar field.
  • RHIT with either CCS, CCS-P, or CPC certification required.
  • 8+ years of medical coding experience including inpatient, outpatient, and professional fee coding.
  • 3+ years of coding management experience.
  • Experience leading HIM operations, medical coding, or auditing teams.
  • Proficient with providing medical coder/auditor education and feedback.
  • Demonstrated experience developing and maintaining client relationships.
  • Excellent technical skills, including experience with multiple encoders and EMRs.
  • Proficiency with Microsoft Excel, Word, PowerPoint, and Teams.
  • Excellent verbal, nonverbal, visual, and written communication skills.

Preferred Requirements

  • Masters or Baccalaureate Degree with an emphasis in Health Information Management (HIM), business, or similar preferred.
  • RHIA, with either CCS, or CCS-P certifications preferred.
  • 10+ years of medical coding experience including inpatient, outpatient, and professional fee coding.
  • 8+ years of coding management experience.
  • 3+ years of vendor coding management experience.
