Description:
Our team is looking for an Operations & Communications Intern who will assist in the implementation of key initiatives within the Foundation, including grants administration for the Connections for Cardiovascular HealthSM (CCH) Next Generation program and Employee Disaster Relief Fund, communicating the collective impact of the Foundation and supporting its ongoing operations while ensuring alignment with legal and compliance requirements.
This will be a part-time hourly position (up to 15 hours) May through June 2022, transitioning to a full-time hourly position of up to 37.5 hours per week July through December 2022, with a potential opportunity to extend. Hours to be agreed upon between the Foundation and Operations & Communications Intern.
This position reports to the Foundation Executive Director, who serves as the chief executive officer of the AstraZeneca HealthCare Foundation, and is primarily responsible for carrying out the organization’s mission, strategic plans and policies on behalf of the Board of Trustees and in collaboration with the Officers of the Corporation. Day-to-day oversight of this position will be managed by the Senior Program Manager and Operations & Communications Manager. The AstraZeneca HealthCare Foundation is a 501(c)3 nonprofit organization with the charitable purpose of improving health.
Major Work Products:
Grants Administration: CCH Next Generation Letter of Agreement Addendum development and execution
Communications: Foundation social media content calendar assistance, implementation and analysis; monthly CCH Next Generation Grant Awardee e-newsletter development and implementation
Other Work Products (as needed/requested)
Developing CCH Next Generation Mentorship Webinar presentations, surveys and other slide decks/talking points
Future health equity program application development
Responsibilities:
Serve as day-to-day point of contact for operations and communications during the Operations & Communications Manager’s maternity leave
Operations – Assist in the management of the Foundation’s general operations including audit, budget, records retention, meeting management, document preparation, IT and website support and interfacing with stakeholders
Provide meeting management and travel support (e.g. logistical, develop/prepare meeting agendas and materials) for internal/external meetings (e.g. Board, Officers, committee meetings and events)
Support preparations for the Foundation’s annual financial audit, including maintaining governance, financial, investment and other documents through proper protocol and records retention; communications with external auditors; interfacing with Tax, Finance, etc. to secure needed documents
Support the day-to-day management of the Foundation’s budget, including developing Master Services Agreements/Statements of Work, tracking invoices through working with the external accountant and preparing budget and financial updates for the Officers and Board of Trustees, while collaborating with the accountant, Treasury, Tax and auditors
Assist in the daily management of the Foundation’s designated email boxes
Communications – Assist in the management of the Foundation’s communications activities including social media channels, event planning, media outreach, video production and other communications in collaboration with the Foundation team, communications agency, AZ Corporate Communications and Grant Awardees
Collaborate on digital media activities, including social media content and program planning materials
Develop, edit and proofread Foundation materials (e.g., e-newsletters, briefing documents, Grant Awardee materials, Excel reports, PowerPoint slides and general correspondence)
Prepare public disclosure reports (e.g., grant awards) and update the Foundation webpage as needed (e.g., content update in support of Foundation milestones)
Catalog Foundation communications materials (e.g., photos, slide decks, participant stories)
Grants Administration –
Assist in the management of the Foundation’s Employee Disaster Relief (EDR) Fund program to provide modest charitable contributions to AZ employees affected by federally-declared natural disasters in the US, track employee contributions to EDR and work with Corporate Communications to raise awareness of the EDR program when a disaster occurs.
Develop, distribute and execute Letter of Agreements and funding to CCH Next Generation Grant Awardees in collaboration with the Executive Director, Operations & Communications Manager, Senior Program Manager, legal counsel, treasurer and AZ External Funding team.
Provide support for Foundation projects and activities, as assigned.
