Senior Archivist, Oral History Projects 

Description

Reporting to the Director, Oral History Projects, and working closely with Academy Film Archive, IT, and Digital Management Services staff and a variety of other stakeholders, the Senior Archivist, is responsible for the archival management and digital archiving of the department’s Visual History Program born-digital audiovisual recordings, processing incoming born digital and analog oral history collections from individuals and partner organizations, and overall collection management. Primary duties include archival processing of oral history collection materials in a variety of audiovisual formats; implement metadata systems and database configurations which facilitate pre-production and post-production processes; access policy development and licensing support; workflow development; management of departmental records; and access systems planning.

Responsibilities:

 

Archival and Cataloging

  • Accession, arrange, describe and preserve audio and video oral history collections.
  • Develop archival workflow, overseeing the processing of collections by project archivists and/or archival interns.
  • Oversee transcription, indexing, translation, and other post-production tasks, in collaboration with other OHP staff.
  • Conduct file management, organizing a variety of interrelated file types and versions for streamlined post-production and preservation.
  • Process all oral history audio/video licensing requests, in collaboration with Academy legal.
  • Configure metadata management and project management software (Jira, Airtable) to support pre-production and post-production tasks, train OHP staff and develop documentation.
  • Develop automated processes for metadata and project management using Free Open Source Software/scripting/APIs.
  • Supervise up to two (2) interns as part of the Academy GOLD Rising summer program, including interviews, onboarding, designing internship projects, training archival interns in OHP workflows and culture, and assisting OHP staff in supervising one (1) year-round intern.
  • Supervise the work of cataloging and indexing contractors and temporary staff.
  • Project lead on multilingual controlled vocabulary development for indexing oral history content, in collaboration with DMS Taxonomist.
  • Assist Academy Film Archive and DMS staff in developing oral history-specific cataloging practices.
  • Assist Academy Film Archive and DMS staff in collection appraisal, acquisitions, digitization prioritization and the ingest of born-digital video into digital repository.
  • Assist in the development and implementation of departmental archival policies based on/providing input to relevant professional organizations’ best practices.
  • Research and document audio and video oral history and interview collections both within the Archive and at outside institutions and perform collection assessments of oral history and interview materials to aid in acquisition planning and VH Program interviewee prioritization decisions.

 

Curation and Research

  • Assist Academy staff in researching and identifying related material from the Academy’s interview collections for subject prioritization and for Academy Museum and web presentation.
  • Organize images from productions, select images for public and internal usage.

 

Post-Production

  • Assist Senior Specialist, Production and Operations, working with contractor video editors and organize post-production priorities.
  • Serve as the primary contact for creation of textual deliverables (transcripts, subtitles/captions) by vendors, project lead for processing, QC, and preservation of OHP textual materials.
  • Assist with the creation of audiovisual deliverables, transcode video files, perform quality control, media traffic/shipping materials.

 

Administrative

  • Assist with outreach for the digital archive project by identifying potential partners and fostering partner relationships.
  • Oversee project timelines and contractors.
  • Collaborate and communicate with Academy staff and interns, archive donors, Academy members, film industry professionals, and outside organizations on collection-related activities.
  • Communicate with project partners and vendors, including the craft guilds and foundations and the USC Digital Repository.
  • Present and/or teach skills-based workshops at professional conferences and/or community events.
 
Position Requirements
  • Master’s degree in Moving Image Archival Studies (MIAS), Masters of Library and Information Science (MLIS), Preservation & Presentation of the Moving Image, or Masters of Science in Information (MSI).
  • Knowledge of motion picture and moving image history, technology, and craft.
  • Interest in working with oral history recordings.
  • Knowledge of legacy and digital audiovisual formats.
  • Knowledge of video production/post-production practices.
  • Experience using video analysis software for preservation and inspection (QCTools, MediaConch, ffmpeg).
  • Experience in audiovisual preservation projects with both analog and digital formats.
  • Must be comfortable in operation of audiovisual viewing equipment and handling.
  • Familiarity with controlled vocabularies and subject headings.
  • Knowledge of standards in moving-image cataloging and the creation of descriptive metadata (catalog records, finding aids).
  • Experience with cataloging systems and software (i.e. Axiell Collections, Airtable, InMagic, Microsoft Access, FileMaker 10) and office/project management software (Jira, Trello).
  • Ability to establish and maintain cooperative working relationships with Academy staff, Oral History Projects staff, vendors, Academy members, industry professionals, and visitors.
  • Strong oral and written communication skills, organizational skills, attention to detail, and project planning and time management skills.
  • Ability to work collaboratively with small agile teams of professionals from different fields and backgrounds.
  • Interest in public online access to oral history collections, with an emphasis on automated tools which facilitate access.
  • Strong research and deep listening skills.
  • Experience working with transcripts in XML.
  • Ability to train and support staff in software adoption and use.
  • Open-mindedness to user needs and ability to configure software and systems to meet them in an iterative way.
  • Ability to multi-task under tight deadlines.
  • Availability to work overtime as needed.

 

Preferred Qualifications:

  • Formal training in cultural competency and equity practices in archival work.
  • Experience with the Oral History Metadata Synchronizer (OHMS) and/or Aviary.
  • Experience in a video production environment.
  • Experience with Adobe Creative Cloud software, particularly Premiere Pro and Media Encoder.
  • Experience with (or interest in learning) scripting/software automation/API use, particularly in a Python environment.
  • Experience with version control concepts and software including Git.
  • Knowledge of conversational foreign language.
  • Interest in the oral history methodology as a historical documentation practice.
