JOB SUMMARY:

The Administrative Coordinator provides general administrative and clerical support to all Smirkus programs and departments on a year-round basis. They collaborate with and support seasonal program administrative personnel as necessary.

 

ESSENTIAL FUNCTIONS: (majority of duties, but not meant to be all-inclusive nor prevent other duties from being assigned as necessary.)

  • Assist program and department leads with planning, research, administration, budgeting, and reporting.
  • Support seasonal hiring process for Camp and Big Top Tour
  • Manage program registration process and software
  • Support staff and participant travel planning as necessary
  • Support participant, donor, presenter, partner relationship management
  • Work with board secretary to keep the board portal updated, help Executive Artistic Director and team prep for board meetings and respond to board requests for information.
  • Perform clerical tasks, such as shipping, photocopying, and filing, as well as other general office duties.
  • Perform necessary operational tasks to assist the Finance and Business Manager as directed including opening mail, processing donations, deposits, and donor acknowledgements, as well as payments to vendors.
  • Answer the phone, respond to voice mails, direct “info@smirkus” inquiries to appropriate party
  • Work with entire year round staff to ensure that policies and manuals are up to date and accessible.
  • Ensure that all databases remain accurate and up to date.

Position Requirements

KNOWLEDGE AND EXPERIENCE:

  • Minimum of 3 years of general office experience, including experience doing data entry. Experience in arts management preferred but not required. Must be skilled at supporting a remote team.
  • Excellent customer service skills. This includes good listening skills and the ability to deal with callers in a professional manner. At least 2 years of customer service experience required.
  • Strong written communication skills.
  • Demonstrated ability as a self-starter, able to organize one’s work, adjust to changing priorities, and follow tasks through to completion.
  • Good organizational skills and ability to handle competing priorities.
  • Demonstrated ability and experience using MS Office applications (MS Word, Excel, etc.) and Google Suite
  • Adept with technology and willing to expand skill set.
  • Demonstrated professionalism and attention to detail.
  • Comfortable working with individuals in all age groups, including children.
  • Understands their role as an ambassador for the organization, and the need to maintain confidentiality around proprietary business information

 

WORKING CONDITIONS:

Work is primarily in a shared indoor office setting, with the option of a hybrid onsite/remote arrangement. Some travel may be required during the summer season.

 

PHYSICAL DEMANDS:

Work involves standing, walking, bending, kneeling, reaching, stooping, hearing and communicating effectively. Work may include occasional pushing, pulling, or carrying equipment. Must be able to lift 35 lbs.

 

SUPERVISION:

Direct supervision is received from the Finance and Business Manager.
