Senior Coordinator, Marketing 

Description

The Academy of Motion Picture Arts and Sciences seeks a Senior Coordinator to provide primary administrative support to the Marketing department and the EVP, Marketing and Brand Strategy. You are well-organized, extremely efficient, personable, and able to anticipate the needs of a fast-paced team. You are a proactive team member, collaborator and excellent communicator who has an interest in marketing, creative, brand design and loves movies. Prior experience in marketing, media, or with a creative agency is an asset.

Responsibilities:

  • Maintain calendars, production timelines and deliverables for overall Marketing department initiatives.
  • Coordination and manage meetings (invites, adjustments, agendas, materials, etc.).
  • Handle all invoices and expenses for the EVP and team as needed, ensuring timely processing.
  • Coordinate all aspects of travel as needed.
  • Organize digital assets: proper filing on server, file distribution to various internal teams and external agencies/vendors as required, create packages for distribution, etc.
  • Regularly correspond and interface with executive teams across the company as well as filmmakers and production teams.
  • Directly communicate (via phone, email, and in person) with Academy members and staff.
  • Lead in managing the submission of design, creative, and key award competition materials.
  • Review, proofread, and edit a variety of documents for accuracy.
  • Assist with special projects as assigned, including special events, junkets, etc.
  • Aid in any additional departmental/team projects as needed.
 
Position Requirements
  • Bachelor’s degree preferred with a career interest in Marketing.
  • 1-2+ years professional administrative experience, working at a creative agency, content provider, or entertainment company.
  • Knowledge and understanding of design, creative content helpful.
  • Proficiency in Keynote, PowerPoint, presentation layout preferred; familiarity with Airtable, Adobe Creative Cloud, Google Slides, CRM a plus.
  • Ability to anticipate needs and resolve potential challenges calmly and professionally.
  • Ability to communicate effectively and positively with executive teams, filmmakers, vendors, and agencies.
  • Ability to remain organized under pressure while taking direction from numerous parties, managing multiple projects, and meeting deadlines.
  • Professional communication skills with special attention to grammar, detail, and accuracy.
  • Strong sense of initiative and willingness to take ownership of projects.
  • Ability to maintain standards of strict confidentiality with information.
  • A team player and easy-going manner to handle varied personalities, responsibilities, and assignments.
  • Availability to work some nights and weekends as needed and at times on short notice.
