Description

JOB SUMMARY:

The Staff Accountant – Accounts Payable is responsible primarily for the maintenance of Accounts Payable function using the automated Accounts Payable workflow (AvidXchange) and to ensure organization policies such as Finance, Purchase and Procurement and Travel, and Other Expense are followed. This position will be responsible for the administration of AvidXchange workflow and uploading all accounts payable entries to the general ledger under the supervision of the Senior Accountant. The position is responsible for the monthly reconciliation of the AP sub-ledger to the general ledger, preparation of the annual 1099 tax filing, and will interact with other department employees and managers in carrying out the purchasing and expense allocation functions. The role will assist the Senior Accountant and the Controller with month-end, quarter-end and year-end reconciliations and various projects as needed.

 

ESSENTIAL FUNCTIONS:

  • Management of Automated Accounts Payable System
  • Review and assign invoices to invoice owners for coding along with the proper workflow
  • Review expense coding allocated to invoices by owners on the workflow
  • Process payments within automated system
  • Import/Export invoice by batches from AvidXchange to accounting system
  • Ensure data in system is accurate and complete to reflect properly the invoice
  • Manage vendor relationships; work with vendors on invoice submission and payment discrepancy
  • Prepare annual 1099s and maintain appropriate documentation for W9s
  • Monthly Reconciliation of AP, Corporate Credit Card, and AmEx Corporate Card
  • Prepare in-house payments as necessary
  • Transfer capital expenses to relevant fixed asset accounts

Management & Reconciliation of G/L Accounts

  • Account Payable trial balance with General ledger
  • Other accruals account reconciliation
  • Other reconciliations as assigned

Month-End Close

  • Review monthly recurring and large expenses to ensure they are captured on a timely basis to allow accurate and consistent financial statement to leadership
  • Yearly Escheating, reporting and filing

 

RELATIONSHIPS:

This position reports to the Senior Accountant who reports to the Controller. The incumbent will interact with the Senior Accountant, the Controller, the CFO, team members of the Business Office, departmental managers, and vendors.  Critical relationships will include vendors and Senior Accountant.

 
Position Requirements

QUALIFICATIONS:

Required:

  • Minimum of two-year accounting or related degree with at least 3-year experience in an accounting capacity.
  • A good understanding of generally accepted accounting principles
  • Proficient at 10-key, Microsoft Office Excel, and Word.
  • Excellent writing and verbal skills to write routine reports and correspondence.
  • Ability to work in a team as well as individually.
  • Customer service oriented and ability to maintain a good professional relationship with vendors, managers and team members.
  • Strong problem-solving ability, including ability to productively resolve conflict.
  • Ability to work with a variety of cultures, backgrounds, and perspectives.

Preferred:

  • Proficient with computerized accounting systems.
  • knowledge of AvidXchange Invoice and Blackbaud Financial Edge a plus
  • Detail oriented

 

WORK CONDITIONS:

  • Hybrid work schedule
  • Must be able to work on a computer for extended periods of time.
  • Regularly required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms.
  • The employee must infrequently lift and/or move up to 25 pounds. 

 

COMPENSATION: The pay range is approximately $47, 040-$58, 800 per annual  (depending on qualifications)
