Description

Summary of Responsibilities: Primarily responsible for all duties related to duplicating services, including assisting customers, operating related machinery, and completing duplicating requests. In addition, this position may serve as assistant in bulk mail and mail room areas. Tasks include but are not limited to, receiving, sorting, and delivering US Postal Service and campus mail.

 

Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)

  1. Print Services (Primary Work):
    1. Sets up and operates high speed copiers.
    2. Efficiently operates machines to handle stapling, collating, drilling, folding and cutting.
    3. Performs work in an accurate and efficient manner to provide effective and timely services.
    4. Uses computers to receive jobs and send them to the printer.
    5. Assists customers with duplicating concerns in person or on the phone.
    6. Handles money and keeps accurate records of cash received.
  2. Mail Center (As Needed):
    1. Picks up and delivers mail from/to US Main Post Office in a timely manner.
    2. Sorts incoming mail for faculty, staff and students as needed.
    3. Puts USPS mail and Campus mail in student boxes.
    4. Collects, weighs, and affixes postage to outgoing mail, parcels, and other materials for domestic and international destinations in accordance with US Postal charts and regulations.
    5. Receives and logs incoming packages from UPS, FEDEX, DHL and USPS using computer software as needed.
    6. Delivers mail and packages accurately across campus by foot or van.
    7. Forwards mail to students who have graduated or withdrawn and keeps records of address changes as needed.
    8. Advises customers as to the best shipping method and price for both domestic and international services.
    9. Handles money and accurately sells stamps.
    10. Operates Postage meter for all classes of mail as needed.
    11. Maintains mailbox keys by keeping records, assigning boxes, ordering keys to be cut and tracking missing keys, as needed.
    12. Processes Business Reply and Return Mail; bills correct department for the associated fees, as needed.
    13. Performs all other duties as assigned by the Mail & Print Services Director.
  3. Bulk Mail (As Needed):
    1. Sets up and operates inserter/folder, tabbing machine and address printer.
    2. Applies addresses and postage to mail and sorts mail into trays/sacks according to Postal regulations.
    3. Coordinates workload according to scheduled deadlines.
    4. Exports data and merges into letters for bulk mail.
    5. Prepares postage statements for bulk mailings with computer software.
    6. Takes mailings to post office when ready.

Job Requirements - Labor:

  1. General: Individuals must possess the knowledge, skills, and abilities listed or are able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.
  2. Physical: Should be able to perform the following and similar physical demands in completing work tasks: Regularly walking, stooping, reaching, pushing, feeling, lifting, pulling, standing, carrying, handling, talking, hearing, seeing, sitting, and fingering. Occasionally kneeling, crouching, and crawling. Rarely climbing. Able to lift up to 50 lbs.
  3. Confidentiality: Individuals must recognize that management of data, including personal information, grades, budgets, programs, and policies is necessary to the operation of the College. Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws. Should there be doubt as to whether a certain matter is to be protected, it should be discussed with your supervisor before making a disclosure.
  4. Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.

 

 

Qualifications:

  1. Minimum:
    1. Education/Certification: High school diploma or GED
    2. Skill/Abilities:
      1. Must be able to stand all day.
      2. Must have a good understanding of Microsoft Windows
      3. Must be able to learn computer software programs.
      4. Must have the ability to read, sort, check, count, and verify numbers.
      5. Must have the ability to do multiple tasks simultaneously.
      6. Must be able to work in a fast-paced environment with many interruptions.
      7. Must have the ability to meet deadlines.
      8. Must be able to answer telephone and assist customers in a courteous manner.
      9. Must be able to work alone and be a self-starter.
      10. Must maintain confidentiality of all items mailed and printed.
      11. Must be able to understand and follow safely and security practices.
      12. Must have a valid driver’s license so as to deliver mail and duplicating jobs.
      13. Must be able to work with machinery and maintain equipment to prevent downtimes.
      14. Must be able to manage workflow and resolve questions and problems with manager.
      15. Must be able to keep accurate records of mailings.
    3. Christian Commitment: Eligible candidates must be a thoughtful and articulate Christian and an active member of a Protestant evangelical Christian church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  2. Preferred:
    1. Experience: Work in a similar position at another college or university. Familiarity with US Postal Regulations. Knowledge of computers. Ability to minister to students.
