Position Manager of Library Circulation Services

Summary of Responsibilities: This position supervises library and media circulation services; manages reserve materials; and hires, trains, and oversees undergraduate and graduate student workers.


Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)

  1. Student worker supervision:
    1. Advertise positions, review applications, and interview (if necessary) to hire undergraduate library student assistants (approximately 25 per semester) and evening supervisor graduate students (one or two students per year).
    2. Process student worker employment paperwork, including liaising with HR and Tech Services for onboarding, and administering Paychex software for timeclock recordkeeping.
    3. Coordinate student schedules, including finding substitutes for sickness or other absences and maintaining budgetary limits.
    4. Train, mentor, coach, and evaluate student workers and assist other library staff with managing students.
    5. Create and maintain policy and training documents for student employees and for circulation operation.
  2. Circulation Oversight:
    1. Supervise, administer, and perform all jobs related to circulation services in ExLibris Alma library software, including but not limited to:
      1. charging, discharging, and renewing library materials
      2. registering patrons and updating user records
      3. receiving and processing item hold requests
      4. sending notices to patrons about due dates, overdue items, fines, etc.
    2. Collect and record fines and fees, including handling patron complaints or disputes and transferring unpaid replacement costs to college bursar.
    3. Handle material returns and stack management, including book drops, reshelving, stack maintenance (shifting), and inventory activities for both monographic and audiovisual materials.
    4. Maintain and gather data of work routines and services at circulation for decision-making and service improvement.
  3. Library Reserves: Administer all aspects of book, article, and audiovisual course reserves including working with professors, retrieving items, creating courses, and reading lists in Alma, and organizing materials on the shelves.


Secondary Responsibilities: (These are responsibilities that may be delegated in order to make reasonable accommodation for an employee).

  1. Coordinate with outside vendors for library work as needed.
  2. Participate in the development and evaluation of operating policies and procedures.
  3. Configure fulfillment and user administration sections of Ex Libris Alma software.
  4. Handle some administrative work for the library director.
  5. Perform professional self-development by reading circulation and software-related literature, and by attending webinar training opportunities.
  6. Perform related duties and special projects as assigned.

Job Requirements - Administrative:

  1. General: Individuals must possess the knowledge, skills, and abilities listed or are able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.
  2. Physical: Must be able to perform the following: talking, hearing, and seeing. Must have sufficient manual dexterity to be able to operate all office equipment including, but not limited to: computers, fax machines, copy machines, modems, and telephones. Must be able to regularly lift up to 25 lbs.
  3. Confidentiality: Individuals must recognize that management of data, including personal information, grades, budgets, programs, and policies is necessary to the operation of the College. Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws. Should there be doubt as to whether a certain matter is to be protected, it should be discussed with your supervisor before making a disclosure.
  4. Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.



  1. Minimum:
    1. Education/Certification: Bachelor’s degree or significant (8 years+) professional work experience.
    2. Experience: Experience working with college students or upper teens; experience supervising and scheduling part-time workers.
    3. Skill/Abilities:
      1. Proficient with Microsoft Office programs (Word, Excel, Outlook) and internet web browsers.
      2. Aptitude for learning and operating various other computer software applications related to library services, especially ExLibris Alma and Paychex payroll software.
      3. Ability to lift (25 lbs. or less) and push/pull loaded book carts.
      4. Excellent interpersonal communication skills (in person, phone, and email) to resolve customer service issues.
      5. Experience with and knowledge of supervisory methods, including work delegation, scheduling, evaluating performance and maintaining morale.
      6. Must be committed to high level public service.
    4. Christian Commitment: eligible candidates must be a thoughtful and articulate Christian and an active member of Protestant evangelical Christian church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  2. Preferred:
    1. Experience: Experience in library workflows and services in an educational or public library setting
    2. Skill/Abilities:
      1. Communicate clearly through artful signs and written documents.
      2. Skill in searching library research databases and catalogs.
      3. Tact and professionalism in conflict resolution.
      4. Ability to be ambassadorial for the library and college, and actively support college’s mission.
