Description

In this role, you will:

  • Support the Event Manager with executing the yearly Events Calendar (corporate events, trade shows, etc.)
  • Manage regional events (partnership/liaison between sales, luminaries, Marcom, digital, registration, materials, etc.)
  • Utilize Rep Events Process/Flow Outline as a guide
  • Develop and work within the event budget
  • Assist with managing regional trade shows
  • Ensure the events calendars and program budgets are up to date
  • Event materials and inventory - coordinate with admin the ordering and shipping of literature, materials/supplies (table drapes, banner stands, goggles, etc.), and follow-up to have items returned in a timely fashion post-event.
  • Work with vendors, e.g., hotel, AV, DMC, etc. to ensure optimal, timely, and cost-effective event support
  • Provide general administrative assistance including hotel reservations, restaurant reservations, invoicing, and inventory management
  • Help reconcile monthly credit card statement charges and receipts
  • Follow up with sales team to ensure leads are returned, processed, and distributed in a timely manner (work with digital/sales ops to ensure uploaded into Salesforce)
  • Generate post-event surveys. Generate reports and dashboards to monitor and analyze events as required
  • Provide analysis and recommendations for continuous improvement regarding event marketing and lead generation/management

Essential Requirements:

  • Strong organizational and planning skills, with keen attention to details
  • Detail-oriented with attention to deadlines, excellent follow-up, budgeting, and time management skills
  • Ability to handle multiple complex projects simultaneously under pressure to meet tight deadlines
  • Ability to execute against both short term deliverables and long-term strategic initiatives
  • Proactive self-starter that is creative and flexible with a can-do attitude
  • Strong team player with the ability to develop effective working relationships across the organization
  • Ability to build good relationships with both internal employees and external customers
  • Ability to lead and drive planning meetings with a diverse team of stakeholders
  • Excellent written and verbal communication skills

 

Proficiency with:

  • Google Suite (Google Drive, Google Doc, Sheets, Slides, etc.)
  • Microsoft Office Suite (PowerPoint, Word, Excel, etc.)
  • Zoom, Web conferencing
  • Asana, Pardot, and Salesforce
  • Knowledge of social media, Canva, and Adobe
  • Ability to travel up to 25%
  • Must occasionally lift and move up to 40 lbs.
  • 2-5 years of relevant work experience - coordination of meetings, events, trade shows
  • Successful track record in previous positions
  • BA/BS in Business, Marketing, or related field

 

Ideal (nice to have):

  • Passion for the aesthetics industry
  • Experience working in the medical device or aesthetic industry
  • Experience working in the events industry
  • Good project management skills
  • Sound understanding of the principles of marketing
  • Strong verbal and written skills
  • Attention to detail.
  • Min of 5 years of admin support in a Marketing department.
