ESSENTIAL JOB RESPONSIBILITIES:

Perform administrative duties in a timely and accurate manner. Type, print, photocopy, fax and shred materials. Answer phone calls and return all messages. Pickup and distribute mail; run program errands as needed. Gather and submit mileage and reimbursements. Maintain databases, program and client files. Maintain contractual compliance. Maintain confidentiality. Monitor Emails. Support Office Manager in the daily operations of the clinic. Monitor clinic calendar to include scheduled staff meetings, team huddles and professional development trainings. Work with Lead Clinician to ensure proper credentialing and privileging of clinical staff.

Maintain and organize files, billing support and other various projects. Includes proofreading of documents and reports to ensure accuracy. Data Tracking.

ESSENTIAL QUALIFICATIONS:
EDUCATION: High school diploma or GED preferred.
EXPERIENCE: 1+ years strong administrative/clerical experience, 3+ years preferred; 2+ years in a customer service focused environment; social service and/or non-profit experience preferred. Experience working with military and veteran populations and/or behavioral health clients. Demonstrated knowledge about the appropriate and effective use of protected health information. Preferred experience in insurance billing.
ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.
LICENSES: Driver’s License with clear record.
VEHICLE: Must have daily use of a vehicle without prior notice.
OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others. Must be available and willing to work nights, weekends and holidays as required to meet business needs.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:
COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to parents, school personnel, licensing, staff and the general public. Ability to make oral presentations.
COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.
COMPUTER: Proficient knowledge of Word, Excel, Publisher, Access; PowerPoint a plus.
DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.
FINANCIAL: Strong math skills, proof reading skills.
ORGANIZATION: Ability to plan ahead several months to a year. Ability to keep various on-going projects organized and files maintained accurately. Above normal levels of concentration and memory required. Requires good time management practices and the ability to meet multiple deadlines.
SUPERVISION: Ability to train, evaluate and guide employees. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.
TECHNICAL: Knowledge of administrative functions and support.
