Position Community Development Coordinator - Planning & Community Development  
Description

POSITION SUMMARY

This position provides administrative support and coordination to the Planning & Community Development Department.  The position requires confidentiality as well as the ability to manage multiple tasks and to work with limited direct supervision.

PRIMARY DUTIES

  • Manage front-line communications for the Planning & Community Development Department to include phone, mail and email correspondence; disseminating information at the request of residents, developers and business prospects, etc. 
  • Administer and maintain various Planning & Community Development loan programs and the City’s Redevelopment Authority to, include balancing of loan statements and document preparation, bookkeeping tasks, file maintenance, and any required State reporting.
  • Coordinate with business prospects, investors and developers to drive economic development within the City of Kaukauna and provide necessary information to meet this goal. Information dissemination includes providing information such as applications, funding resources, deadlines for necessary commission review / approval, etc.
  • Coordinate with Clerk/Treasurer’s office to ensure Common Council agenda items are posted, published and made available for public inspection in accordance with State Statutes.
  • Coordinate scheduling, agenda development, noticing and record keeping for various commissions, some beyond the normal workday, with compensation as directed.
  • Provide clerical assistance to the Building Inspection office to ensure proper intake and administration of building permit applications.
  • Coordinate Department review of bee-keeping permits, chicken-keeping permits, and downtown sidewalk cafe and sidewalk display permits.
  • Work with the Special Events Committee to coordinate City Departments to assure proper review and notification of permit applications.
  • Assist in the administration of various state and federal grants.
  • Other duties as assigned.
 
Position Requirements

Requires an Associate's Degree program in Urban Planning, Administrative Assistant or similiar degree.  Three to five years experience considered in lieu of degree would also be considered.  

  • Excellent interpersonal communication skills needed for managing phone, written and email communications for the Planning and Community Development Department.
     
  • Proficiency in Microsoft Office applications, in particular Microsoft Outlook, Microsoft Word, and Microsoft Excel required. Knowledge of Adobe Creative Suite, Microsoft Publisher preferred, but not required. This position requires some knowledge of website administration, which candidates can be trained on upon hire.
     
  • Basic bookkeeping and accounting principles for administration of various loan programs.
     
  • Ability to accurately keep record of discussions and proceedings at various commission and authority meetings.
     
  • Strong sense of time management and ability to manage multiple overlapping workflows and deadlines simultaneously.
  • Knowledge in administration of various State and Federal grant and aid programs. 

Hours for the position: Monday -Friday 8:00a.m. - 4:30p.m. (37.5 hours per week)
