Summary: The individual in the job is responsible for assisting Tropical Financial Credit Union in the achievement of its purpose of guiding members successfully through the financial marketplace. This is a professional position in Human Resources, the HR Specialist position job entails developing, advising, and implementing procedures including working practices, recruitment, diversity, and employment pay conditions required by the organization. HR Specialist main responsibilities include Talent Management, Wellness benefits management, compensation, and HR compliance and reporting. HR Specialist works closely with all departments throughout the organization providing member/people-focused and effective HR support service to the organization to achieve the organization’s goals and objectives.

 

Essential Duties and Responsibilities include the following:

  • Talent Management:
    • Coordinates recruitment efforts to ensure efficiency and accuracy including:
      • Developing relationships with local government employment agencies, colleges, and universities to create and maintain job relationships.
    • Identifying and maintaining relevant job posting sites to comply with our organizational needs.
    • Communicate with Managers to determine hiring needs and post positions on relevant online job boards
    • Review and prescreen applicants. Partner with Hiring Managers to determine best interview options.
    • Coordinates the background check process for all candidates, and evaluates results, and consults with managers on outcomes when appropriate.
    • Makes salary recommendations within organizational guidelines and extends job offers to applicants.
    • Onboarding Process:
      • Ensures all new hires are set up for first-day Orientation and compliance with all paperwork requirements.
      • Coordinates Connect with Facilitators day, the 180-day follow-up, for newly hired employees.
  • Wellness Benefits Management:
    • Key Liaison with our Wellness Administrator. Recommends wellness events, communicates wellness-related information to all employees. Coordinates wellness events, reports in the wellness points program and supports any other wellness-related activities.
    • Participates in all phases of the annual Open/Re-Enrollment process, e.g., communication and education to all the employees.
    • Assist employees with benefit (Health, Supplemental, and Retirement) inquiries; assist in guiding them to the right services needed.
    • Back up to ensure proper completion of all benefits enrollment information by established deadlines.
  • Tropical Employee Recognition Programs - Tropical Service Champion, Anniversary Awards, and On-the-Spot Bonus:
    • Coordinate committee meetings and participation,
    • Gather and present the nominations to the committee
    • Communicate the announcements of the winners;
    • Oversee the coordination of Service Anniversary awards and on-the-spot bonuses including ordering and distribution of gift cards.
    • Oversee the ordering gifts for employee events (hospitalization, births, and bereavement) and appropriate distribution of these gifts.
  • Human Resources Communication- Shared responsibility
    • Assist employees in the interpretation and clarification of HR policies and procedures.
    • Maintain and/or update internet page/ HR calendar
    • Ensure help desk IT tickets for all employee actions are prepared and delivered on a timely basis.
  • Employee Relations - Shared responsibility
    • Reviews and makes recommendations to enhance employment practices and procedures to ensure their compliance with government regulations, as well as company policy and objectives.
    • Administers the “exit interview” process, the exit interviews, and any reporting requirements.
    • Development and support of an employee-oriented company culture that emphasizes quality, continuous improvement, and high performance.
  • HR Compliance
    • Oversee, maintain and update Compliance Labor Law posters of all locations and intranet sites.
    • Complete federally required HR Reports.
    • Enter employee changes in the HRIS system, generate PAF’s and obtain proper signatures. – Shared with HR Generalist/HR Assistant
    • Analyze and identify trends and activities in the areas of employee relations/communication, benefits, and recruiting and recommends improvements based on research.
    • Keep current with existing, new, and upcoming Federal, State, and local rules, regulations, and guidelines that impact human resources and the related business environment.
  • Training Compliance Oversight:
    • Oversee the coordination of the delivery method, communication, and tracking of all organizational compliance training.
    • Presents HR Related training for the employees, which may include creating, presenting, and delivering the information.
  • Other HR Related Activities:
    • Keep current with changes within the organization and be active in supporting the HR efforts. Responds to all types of inquiries such as recruitment, performance management, training, payroll, etc.
    • Is empowered to make recommendations as it relates to the HR partnership within the organization and supporting the different lines of business, i.e., Member Relations, Lending, etc.
    • Contribute to HR projects.
    • Ensure their individual professional development.
    • Responsible for controlling expenses and seeking cost control and reduction opportunities to achieve optimal results.
    • Assist in managing the uniform shirt ordering process for all Branch Employees and any related employees needing uniforms. Shared responsibility
    • Assist in managing the business card ordering process. Shared responsibility
  • Compliance:
    • BSA Compliance - every employee is required to uphold the credit union’s compliance with the Bank Secrecy Act and anti-money laundering policies and procedures. Specific functions within TFCU will take into consideration the awareness of unusual or suspicious activity that is relevant to the department.
    • In addition to any other assigned training courses, online BSA and OFAC courses must be completed at least annually, as made available by the Training and/or Compliance Departments.
    • Maintains comprehensive knowledge of the Bank Secrecy Act, Customer Identification Program, USA Patriot Act, OFAC, Fair Lending, and Credit Card Act.
    • Comply with all TFCU policies and procedures to ensure compliance with such regulations.
  • Performs other duties as required with or without accommodation.

Education and/or Experience

  • Bachelor’s Degree in Human Resources Management or Business Management.
  • Minimum of five years proven, verifiable working experience in Human Resources, in either of the following human resource functions: Recruitment and Selection, Employment Benefits Administration and Training and Development.
  • Working knowledge of Federal, State, and Local personnel laws and regulations.
  • Working knowledge of personal computers utilizing Microsoft Office – Outlook, Word, Excel, PowerPoint, and Visio.
  • Working knowledge of an HRIS database is desired can either be PeopleSoft, Ultimate Software, Ascentis, or any related/similar software
