Description

GENERAL STATEMENT OF DUTIES:
Responsible for performing a wide variety of administrative clerical, and artistic support duties for the Lone Tree Arts Center (LTAC). Coordinates office support functions in relation to the Arts Center’s goals and objectives.

Artistic

  • Coordinate with Artistic Director on LTAC community outreach programs Student Matinees, Sensory Friendly (autism spectrum disorders), and SPARK! Alliance (memory loss individuals) and other outreach opportunities to help grow and develop each program.
  • Assist Business Manager with all performer contract needs, including check requests and other filings and tracking in Smartsheets.


Administrative

  • Serve as the Lone Tree Arts Center’s front desk person, professionally greeting guests, vendors, and other visitors at the Arts Center Administrative office.
  • Responsible for ensuring the Administrative Office is opened at 8:00 am daily.
  • Handle all incoming calls, directing them to appropriate staff and/or providing informative answers to questions.
  • Assist Executive Director with the Lone Tree Arts Center Fund board meetings, administrative tasks, and fundraising efforts.
  • Assist the Development team with the stewardship of donors and special events.
  • Review and codes job-related invoices and Purchase Card (PCard) reports.
  • Enter requisitions/purchase orders and special check requests.
  • Create and/or modify memos, meeting minutes, correspondence, and reports.
  • Monitor and purchase all office supplies.
  • Responsible for admin petty cash bank, issuing, and reconciliation.
  • Acting communication link between LTAC and City offices for general informational requirements including distributing upcoming events to City Clerk’s office for Council meetings
  • Manage all office equipment, including, but not limited to; copy machine, postage machine, kitchen equipment (dishwasher, refrigerators, coffee machines, etc.).
  • Responsible for receiving, opening, sorting, and distribution of mail and other deliveries - travel between LTAC and City offices will be necessary on a weekly basis to pick-up and deliver documents and mail.
  • Assist all departments with projects as necessary.
  • Responsible for managing LTAC van, including scheduling maintenance with fleet officers and track usage.
  • Other duties as assigned.
