Assistant Manager, Facilities (Swing Shift)

The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the Sr. Manager, Facilities, you will assist in managing the facilities operations in a safe and efficient manner. This includes overseeing a wide range of functions including maintenance, custodial service, grounds services, vendor contracts, and set-up services. You will also train and supervise department staff in the proper procedures established by the Museum.

This is a temporary, full-time position through June 2022.

You Will:

  • Plan, organize, coordinate, inspect, supervise, and evaluate the work of maintenance, custodial, grounds, and set-up services staff and vendors in the upkeep of the facility.
  • Manage waste disposal and recycling program.
  • Be responsible for the proper set-up and custodial services for all internal events and provide support for third-party events.
  • Support the management team with development and implementation of standard operating procedures for the department.
  • Assist with recruiting, selecting, hiring, and training of facilities staff.
  • Undertake maintenance, grounds, set-up services and custodial tasks.
  • Coordinate closely with client departments to ensure alignment of goals and minimize disruption to operations.
  • Schedule and oversee repairs and preventative maintenance on equipment and systems both manually in accordance with manufacturer’s instructions and industry-recommended best practices. Direct staff and vendors in pursuit of this goal.
  • Utilize the CMMS and other documentation and automation tools, maintains files maintenance history, safety and training records, and records of completed work.
  • Provide reports requested by other departments. Research and recommend changes that enhance efficiency. Report deficiencies to manager.
  • Manage maintenance agreements for the safe and proper operation of all equipment and inspect the work by outside contractors.
  • Comply with all applicable Cal-OSHA and other state and local building codes.
  • Actively participate in safety inspections, training, hazard abatement, and Cal-OSHA compliance to ensure a safe environment for staff and visitors.
  • Assist in preparation of department budget and monitor expenditure of funds in budget.
  • Recommend capital expenditures, service contracts, supply and tool procurement, and training for the ongoing efficient operation of all systems.
  • Participate in ongoing efforts to improve operations and reduce costs.
 
Position Requirements

You Have:

  • Experience managing teams with diverse skill sets and providing hands-on instruction and training in a variety of maintenance, grounds, set-up services and custodial tasks.
  • Experience and comfort with the safe operation of scissor lifts, custodial equipment, forklifts, power tools, and custodial equipment.
  • Experience or strong familiarity with all or some of the following areas: basic carpentry, HVAC functionality, irrigation, janitorial, and/or plumbing is strongly preferred.
  • Strong customer service orientation and able to communicate effectively with staff, visitors, vendors, and contractors.
  • Ability to follow through on commitments, projects, and demonstrate a can-do attitude.
  • Strong attention to detail and the ability to prioritize, manage multiple tasks, and stay organized in a fast-paced environment with shifting priorities.
  • Knowledge of safe work practices and codes including Cal-OSHA requirements.
  • Bilingual (English/Spanish) is highly preferred.
  • Competency with Microsoft Office suite and electronic workorder and inventory management systems.
  • Flexibility to work a variable schedule including evenings and weekends in support of special events and in response to emergencies.

Physical Requirements:

  • Ability to reach.
  • Ability to climb ladders.
  • Ability to work outside including during periods of hot and cold weather and in inclement weather conditions.
  • Lift up to 50 pounds for brief periods.
