Description

The Events Intern is responsible to assist and support all property sales and food and beverage efforts including coordinating and facilitating group events through telephone, email, site inspection, written communication and day-of event execution. Assist with all assigned group activities including room blocks, agendas, meeting setup, and meals to maximize revenue potential, exceed client expectations, and maintain quality standards for the sales and food and beverage departments.

Duties/Responsibilities:

  • Assist with creating group accounts in the system; coordinate all group details, activities and meals; produce BEO (Banquet Event Order); create floor plans, and complete invoices for all assigned groups.
  • BEO distribution and internal event communications.
  • Assist with all group guestroom activities and correspondences including: sending guestroom release reminders, collecting rooming list and entering; sending group roosters; managing VIP upgrades and changes.
  • Manage all deposits and accounts receivables.
  • Greet client upon arrival and be available at all times when group is on site.
  • Assist with all day of event coordination and lead the food and beverage/banquet team during day-of execution.
  • Create and distribute signage for each event.
  • Manage, coordinate and facilitate all programing needs for internal events.
  • Conduct thorough site inspections of the property in connection with or in the absence of Sales Manager.
  • Prepare sales kits and maintain proper inventory par levels on all packet inserts and folders. Mail sales kits and brochures to clients upon request.
  • Answer incoming calls in the absence of Sales Managers and Executive Director of Sales. Communicating accurate information regarding lead/client to sales team within same business day.
  • Answer client questions/ lead requests in absence of Sales Mangers.
  • Participate in weekly business review meetings, BEO/Resume meetings, training and other related meetings as required.
  • Produce weekly reports as requested.
  • Assist with marketing and social media activity as needed.
  • Oversee all internal programming for property sponsored events. Source materials, create and distribute BEOs, coordinate set up and breakdown of events.
  • Professionally represent the hotel in the community, industry organizations and events.
  • Develop/maintain knowledge of market trends, competition and clients. Assist with reports and/or competition data collection. Compare competitors' packages in order to update and develop amenities and rates.
  • Participate as a team player with all departments. Work with other departments within the hotel to provide quality service to clients.
  • Other duties may be assigned.
 
Position Requirements

The ideal candidate will possess the following Knowledge, Skills and Abilities:

  • Technical Skills: We require at least 1 year (or previous equivalent internship experience) experience and knowledge working with coordinatring various types of banquests and events in a fast-paced environment.
  • Leadership and Management: Demonstrated understanding and practice of motivational management techniques. We prefer 2 years of proven leadership experience.
  • Customer Service and Professionalism: Proven experience serving as a role model and setting the standard for all staff to maintain high-quality and consistent customer service.
  • Problem Solving, Quality Control, and Priority Assessment: Must evaluate current practices and processes; immediately recognize potential areas of conflict; and suggest ways to improve current business methods and services provided.
  • Communication: Commitment to details both verbally and non-verbally and ability to encourage cooperative and consistent levels of communication with the kitchen staff, front-end staff and management. Must understand instructions, read written company information and communicate with little or no additional direction.
  • Interpersonal Relationships: Ability to adapt to different personalities of guests, staff and outside vendors without losing focus. Must possess high professional ethics and avoid extreme familiarity or conflicts with others.
  • Conflict Management: Capacity to recognize problems when they arise and be able to resolve them appropriately by using good judgement, tact, and initiative according to company policy and procedure. Requires unbiased communication skills to handle all types of conflicts that will occur at all levels of supervision and the ability to negotiate effectively.
  • Perform General Physical Activities: Ability to perform physical activities in a variety of environmental conditions that require moderate to maximum strength including climbing, lifting, balancing, walking, handling materials.
  • Flexibility: Must be available to work overtime when needed, assist with the workload of others, and perform other duties as assigned.
