We are currently seeking a Resident Services Coordinator to join our team.

RESPONSIBILITIES:

  1. Serves as initial greeter of all visitors and callers, projecting the community's image of warmth and hospitality.
  2. Answers incoming telephone calls, assuring accurate and timely forwarding of calls or messages.
  3. Directs inquiries for information form callers and visitors to proper sources for information within the community.
  4. Assures training and ongoing monitoring of receptionists to accomplish their job responsibilities.
  5. Tours potential residents/families in the absence of CRD or ED.
  6. Maintains various sign-in/out records for residents, e.g., visitor logs, trip logs, etc.
  7. Prepares monthly billing statements to residents/families. Mails billing promptly.
  8. Prepares monthly rent roll.
  9. Prepares deposits into operating account, forwarding required documentation to the home office.
  10. Prepares paperwork required for new hires and assures proper documentation is forwarded to home office.
  11. Maintains personnel files to include all required documentation. Updates documents as required by company or state.
  12. Files employee documents in correct locations, keeping medical files separate from personnel file.
  13. Secures criminal background and any State-required reports on new hires.
  14. Assures all new hires are sent for TB testing and drug screening.
  15. Maintains telephone contact list for all staff.
  16. Serve as coordinator of employee insurance benefits. Assures each new hire is aware of the insurance benefits and either enrolls or declines in a timely manner. Assures terminated employees receive COBRA notice as applicable.
  17. Serve as coordinator of Workers Compensation claims paperwork. Assures proper documentation is sent to the home office. Understands on-the-job-injury and Workers Compensation procedure.
  18. Assures proper quantity of monthly activity calendar and menu are available for distribution to residents, families, and for marketing use.
  19. Prepares copies of admission paperwork for use by Executive Director for each admission.
  20. Assures proper programming of resident call system and procurement of pendants, batteris, and pagers, as needed.
  21. If asked to do so, plans and prepares monthly newsletter.
  22. Coordinates schedule of Driver, if applicable, assuring prompt drop-off and pickup of residents at appointments.
  23. In conjunction with Activity Director, prepares flyers for each Family and Friends Night and assures printing and distribution to residents and families.
  24. If so instructed by Executive Director, processes new hires onto computerized payroll system and assure missing punches are corrected daily.
  25. Follow all company safety policies and procedures in the performance of daily tasks. Is observant and reports any potential safety hazards for staff, residents or visitors.
  26. Attends all required in services as instructed by Executive Director.
  27. Serves as Manager on Duty on weekends as assigned by Executive Director.
  28. Performs other duties as assigned by Executive Director.
 
Position Requirements

EXPERIENCE:

Preference may be given to candidate with minimum of two years experience as office manager or similar position.

QUALIFICATIONS:

High School graduation or equivalent. Able to lift, pull, push, carry 40 pounds. Able to move about building quickly in event of emergency in order to assist residents. Computer proficient, excellent communication skills.
