Accounting Clerk 



  • To ensure the timely and accurate processing of all Museum invoices.
  • To maintain reconciliations and detailed backup for Prepaid and other non-expense payments.


  • Process vendor invoices
  • Match to Purchase Orders (if applicable), vendor statements, travel reports or other documentation;
  • Verify that proper authorization is evidenced prior to payment;
  • Check GL account numbers, assign vendor numbers and batch invoices for approval;
  • Note payment due dates, invoice discounts, 1099 status or other invoice details;
  • Schedule payments in accordance with Museum policy;
  • Key approved invoice batches into the computer system, and verify batch and audit totals;
  • Print checks
  • Resolve accounts payable problems with vendors and other departments.
  • Review and reconcile monthly account statements.
  • Maintain records of 1099 payments and prepare annual 1099s each January.
  • Provide vendors with tax exemption forms and credit references, as appropriate.
  • Assemble monthly sales tax return.
  • Maintain spreadsheet reconciliations of select special accounts
  • Assist with annual audit of Accounts Payable and associated General Ledger accounts.
  • Special projects, other duties as assigned.
Position Requirements
  • Associates degree, or equivalent accounting experience
  • Requires superior organizational skills, high degree of attention to detail, data entry accuracy, and good communication skills.
  • Experience with accounting software and excellent Excel skills required.
  • Familiarity with MS Word preferred.

The Museum is home to more than 500 historic watercraft, including four National Historic Landmark vessels, most notably the 1841 whaleship Charles W. Morgan, America's oldest commercial ship still in existence.
