Overview

The Senior Archivist is responsible for appraising, processing, cataloging, and preserving permanent records and historically valuable documents (i.e., manuscripts, electronic records, websites, photographs, maps, videos, or sound recordings). This individual coordinates educational and public outreach programs, such as tours, lectures, and classes. The Senior Archivist also works with researchers on topics and items relevant to the collection.

 

Essential Functions

  • Authenticate and appraise historical documents and archival materials.
  • Preserve and maintain documents and objects.
  • Create and manage a system to maintain and preserve electronic records.
  • Organize and classify archival materials.
  • Safeguard records by creating film and digital copies.
  • Direct workers to help arrange, exhibit, and maintain collections.
  • Set and administer policy guidelines concerning public access to materials.
  • Find and acquire new materials for their archives.

Work Environment

This position operates in an office setting and a public environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Physical Demands/Strength

While performing the duties of this position, the employee is regularly required to talk, hear, and use repetitive motions. The employee is frequently required to stand, walk, sit, lift and carry 20 pounds, climb ladders and/or scaffolding, balance, stoop, kneel, crouch, crawl, reach, handle, grasp, and use eye/hand/foot coordination. Occasionally, the position is required to push, pull, and feel. The position requires medium work.

Environmental Conditions

Occasional atmospheric conditions and frequent temperature changes.

Position Type/Expected Hours of Work

Salaried. This position frequently requires weekend work and some evenings.

Travel

Moderate to high travel required. Must have reliable transportation, a valid driver license, proof of auto insurance and vehicle registration.

Education/Experience

  • Master’s Degree in history, library/information science, archival studies, political science, or public administration; or relevant advanced degree with a certificate in archives.
  • 3+ years of management, leadership, supervisory, and budget experience.
  • 7+ years of experience working with archives or special collections in a cultural heritage or music museum.
  • Experience with all aspects of archival operation, including a foundational understanding of archival practices, standards, technologies, and trends in addition to proven success in managing archival and special collections in all formats.
  • Experience with current and emerging archival theory and practice, national standards, relevant legal and ethical regulations, and best practices that govern the arrangement, description and se of archival materials, particularly DACS and MPLP.
  • Demonstrated experience leading and managing complex projects, including developing proposals, timelines, budgets, and staffing plans as well as a successful record of grant writing and fundraising experiences, including donor cultivation.
  • Experience in organizational and management to perform efficiently and courteously in a fast-paced environment with a fluctuating workload, conflicting and competing priorities, and frequent distractions and interruptions.
  • Demonstrated experience in preservation best practices, physical handling and storage environments of photographic materials, vinyls, costumes, and instruments including processing, description, arrangement, preservation, and access.
  • Experience working independently, set priorities, and see projects through to completion.
  • Experience with emerging technologies for managing archival collection, including digital repositories and digital preservation systems and digital asset management systems.
  • Experience using digital collection management systems and platforms; preferred.
  • Experience with using archival collection management software, such as PassPerfect, ArchivesSpace, TMS, and Piction; preferred.
  • Experience in investigating new ideas and implementing change to improve access to and awareness of collections.
