Description

General Purpose

Under the general supervision of the Manager, the Accounts Payable Supervisor manages the Accounts Payable department. This position ensures that the Company maintains strong vendor relations. The Accounts Payable Supervisor must have strong supervisory and organizational skills. The Accounts Payable Supervisor must have a knowledge base of different software systems and have strong computer usage experience. Oversees the Accounts Payable department and owns the process. Processes and maintains payments, invoices, and expense reports. Maintains the vendor file. Sends year-end reporting- 1099's. administers the corporate credit card and other corporate purchasing accounts. Works with Inventory and Fleet Managers on their purchasing.

Essential Duties/Responsibilities

  • Manages the entire Accounts Payable process
  • Ensure all invoices have appropriate documentation and approval prior to payment
  • Manages customer vendor and internal relations, and the implementation of vendor compliance
  • Manages the AP Clerks which includes annual reviews, performance ratings, and annual compensation recommendations.
  • Manages the weekly check runs.
  • Manages the check disbursements, mailing, file storage, and document retention.
  • Manages the Accounts Payable ledger to ensure payables within vendor terms
  • Participates in developing and implementing and maintaining systems, procedures, and policies, including accounts payable functions to ensure adherence to company guidelines
  • Provides accounting assistance to property managers and operations staff; responds to accounts payable questions/concerns to meet business needs
  • Ensures that Accounts Payable invoices are being attached to the invoices inputted into Vista
  • Assists with monthly closing process and communication with the Accounting department
  • Assists with other projects as needed
  • Complete the annual 1099 / 1096 reporting requirements

 

Job Qualifications/Experience

  • Bachelor's degree with courses in Accounting, Business, or equivalent experience required.
  • Five years of Accounts Payable experience preferred
  • Construction Accounts Payable experience preferred
  • Understands Job Costing in detail 
  • One or more years of leadership experience
  • Possess strong interpersonal skills for interacting with accountants, vendors, and upper management
  • Good planning and organizational skills to balance and prioritize work
  • Ability to apply analytical skills when researching variances in financial results
  • Ability to effectively communicate (written and oral communication) with the property staff and department personnel
  • Proficient in Internet, Microsoft Office, Outlook
  • Ability to effectively prioritize and schedule tasks
  • Ability to look for innovative solutions that promote efficiency for both time and cost
  • Ability to develop a team atmosphere that will work towards a common goal and adhere to departmental and company deadlines
  • Ability to apply mathematical and analytical skills in all aspects of the job

 

Additional Requirements/Licenses/Certifications

  • Possession of, or ability to obtain, a valid State of Residence Driver’s License is required within two weeks of employment.
  • Candidates must pass criminal and Motor Vehicle Record (MVR) background checks and pass a pre-employment drug screen.
