Senior Coordinator, Board and Academy Member Relations

The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the Director, Board and Community Relations, the Senior Coordinator position is an outstanding opportunity to serve as a board and Academy member relations liaison for the Museum. You will be responsible for organizing and implementing support functions related to the Board of Trustees and museum-related engagement with advisory and support committees comprised of Academy members. You will support communications with trustees and Academy members, coordinate meetings, and provide administrative assistance.

You Will:

  • Schedule and coordinate logistics, reporting, correspondence, and activities for all meetings, orientations, and retreats of the Academy Museum Board of Trustees and its committees, including researching appropriate venues and managing event production.
  • Schedule and coordinate logistics, reporting, correspondence, and activities for advisory and support committees comprised of Academy members.
  • Prepare agendas, create presentations and documents, attend meetings, take notes, and produce minutes for meetings.
  • Maintain historic records of all board and committee proceedings, meeting documents and files, systems for referencing documents to ensure all board members can access meeting materials, and correspondence records.
  • Engage in positive and effective communication strategies with museum trustees, Academy members, and/or their assistants.
  • Answer incoming calls and emails, relay messages, answer questions, clarify information, respond to requests, resolve problems, and refer people to the appropriate staff.
  • Assist in the creation and implementation of processes and materials for board-related and Academy member-related activities.
  • Support communication efforts and draft correspondence to keep all board and committee members up to date, as required.
  • Conduct research for various board-related initiatives or projects and prepare summaries, proposals and/or reports of findings, as required.
  • Keep the Director, Board and Community Relations abreast of significant matters within Museum Board and Academy member groups.
  • Support special projects with research and other administrative tasks.
  • Handle confidential and sensitive materials with discretion.
 
Position Requirements

You Have:

  • 2+ years of professional administrative experience, preferably having supported a nonprofit board.
  • A commitment to diversity, equity, and inclusion.
  • Proficiency in Microsoft Excel, PowerPoint, and Word.
  • Proven ability to independently manage multiple priorities with a high degree of professionalism.
  • Excellent written and oral communication skills.
  • Strong organizational and project management skills with high attention to detail.
  • Ability to identify meeting participants and extensively interact with a diverse group of stakeholders appropriately.
  • Ability to respond quickly and sensitively to numerous questions and concerns.
  • Flexibility to work some mornings, evenings, and weekends.
