Membership Support Specialist 

Description
  • Reporting to the Associate Director of Membership, this position supports all facets of Membership
  • This individual will become an expert in Membership procedures and systems, data entry, sales transactions, event support, reservations and will collaborate with Membership Specialists to process new memberships, renewals, and upgrades received through direct mail, electronically, and over the telephone.
  • They will support a closely-linked team with both membership and reservations processes interfacing daily with Central Reservations and managing sales including Education reservations, Library Memberships, Corporate Memberships, Auction Memberships, Gallery Patrons, Life Membership support, Store Membership sales, and other special initiatives as needed
  • This individual will oversee all facets of the Membership Lounge including but not limited to scheduling of volunteers and staff, and managing lounge supplies – note the lounge is scheduled to reopen in early spring 2022
  • This position works collaboratively both within the Membership and Central Reservations Departments and with all museum departments - from Advancement and Finance to the Entrance and Volunteer Services - to accurately and efficiently manage Membership processes
  • This individual fields detailed questions about the Museum memberships and programs, Museum events generally, and proactively stays informed of different program offerings across the institution
  • They will support the Associate Membership Director with all facets of Member programming and participate in the active promotion of program tickets and membership sales

 

 

Customer Service and Member Stewardship:

* Daily financial and database transactions with attention to accuracy and efficiency

* General Museum and Central Reservations phone and email support, as well as daily written communication

* Collaborative insight into new ways to be impactful and proficient as an individual and department-wide

* Maintenance of office and lounge supply inventory

 

Analysis and Reporting:

* Daily financial accounting

* Compiling reports including promotion performance reports, roster reports for member programming, and other various membership reports as needed

 

Database Management:

* Work in a CRM database daily: looking up records, creating new records, processing transactions, running reports

 

Essential Functions:

  • Point person for member communications, responding to emails, and phone inquiries with high level of accuracy and customer service expertise
  • Manages in-person member requests and transactions
  • Accurately and efficiently processes Membership renewals and New Member sales
  • Ensures data accuracy of the Membership file
  • Keen understanding of the museum and its membership and volunteer base
  • Participates in a highly collaborative department, sharing ideas, problem solving and taking initiative to advance goals
  • Works some evenings and weekends during high profile events
  • Other duties as deemed necessary to meet departmental and museum goals
 
Position Requirements
  • Detail oriented
  • Excellent written and verbal communication skills
  • Excellent customer service skills and demonstrated ability in maintaining customer relationships
  • Ability to maintain professional demeanor in high volume office setting
  • Proficient in the operation of a PC in a windows environment; Microsoft Office Suite
  • Knowledge of CRM databases, Blackbaud preferred
  • Basic accounting skills and accuracy with numbers
  • Ability to work independently and as a collaborative member of a small, team-oriented office

Morgan, America's oldest commercial ship still in existence.
