Assistant Bookkeeper

Job Summary

  • Performs full charge bookkeeper job responsibilities by keeping records of financial transactions.
  • Performs purchasing, accounting, inventory, and clerical/administrative functions.
  • Performs bookkeeping functions by serving as the central full charge bookkeeper for all division tracks; assists with budget preparations, if requested; handles accounts; handles cash receipts; makes bank deposits; maintains ledgers; tracks bills for payment by CPNJ accounting department; prepares division financial statements and reports for each business track, if directed; reconciles payment statements to CPNJ accounting ledger, if required; keeps the supervisor informed as to the status of division internal accounts;
  • prepares monthly sales statements for Operations Manager and VP when requested; Enters division’s receivables and payables into CPWS and CPNJ accounting system
  • Conducts invoice activities entering sales into division internal system, preparing and sending customer billing; tracks orders; tracks customer payments make collection calls, tracks vendor statements entering into internal and CPNJ accounting systems; ensures that invoices are correct; reviews invoices listed prices; makes necessary pricing adjustments; makes computer entries, as needed.
  • Provides inventory support for all division business tracks. Tags new equipment, enters data into the inventory, prepares inventory report, and accounts for all fixed asset equipment of CPWS including but not limited to  CPLI and CP Laundry. Works with CPNJ accounting to prepare inventory report as requested
  • Serves as division liaison with CPNJ accounting department; works with CPNJ accounting department to ensure data entry into accounting systems are up to date and accurate
  • Enters all sales and division financial activities into the appropriate accounting systems (i.e. RiverCites, QuickBooks, Excel and/or Traverse), as required
  • Performs clerical/administrative functions; enters data, types, generates work orders; handles phone calls and incoming mail; maintains files; prepares correspondence and reports, as directed; provides customer service support, as needed

 

Qualifications

 

  • High School Diploma or general education degree (GED)
  • 2 years related experience and/or training; or equivalent combination of education and experience
  • 2 years knowledge and experience in bookkeeping/accounting, QuickBooks and Excel
