Description

The Facilities Coordinator is responsible for maintaining a clean, secure, and efficient working environment and serves as the initial point of contact for clients, building management, vendors and staff at the First Advantage HQ location (Atlanta, GA). This role participates in administrative processes and projects including facilities management, maintenance, and hands on implementation of facility services for all business units. The Facilities Coordinator participates in office security and security audits, disaster recovery and business continuity planning, vendor/contract relations, and various building and construction projects. This individual interacts with senior management, clients, employees, outside vendors, and the landlord’s property management teams. This role requires the ability to handle multiple tasks concurrently and can shift from desk work to hands on troubleshooting. This position is not eligible for remote work.

 

Essential Duties & Responsibilities:

  • Receptionist---Initial point of contact for individuals entering the facility within defined hours of operation—7AM-4PM.   
  • Mail and Shipping ---Receive, sort, and distribute incoming mail and deliveries.  Assist others with shipping requests using FedEx, UPS, or USPS.   
  • Provide support to various organizations whether they have an on-site presence at the Atlanta facility:  HR, Procurement, Finance, et cetera.
  • Key contact for various vendors that support the Atlanta facility to organize and direct the necessary work orders with external facility vendors, contractors, and property management to ensure timely completion; and conduct regular inspection of work spaces making appropriate recommendations for repairs or troubleshoot as directed. 
  • Coordinates with building engineers and external vendors on ad hoc maintenance requests.
  • Maintains preventative maintenance schedules and vendor relationships.
  • Researches, recommends, and purchases new office equipment such as faxes, copier systems, and mailing systems; maintains and renews all lease and maintenance plans for office equipment.
  • Responsible for general maintenance and upkeep of office space; performs daily walk-through of office space and conference rooms to identify issues.
  • Oversees office operations and procedures such as general building operations, requisition of supplies and other administrative services.
  • Provide oversight of office supplies that are necessary to support the employee population at the Atlanta facility such as:  facility related deliveries and restocking of kitchen, supply rooms, conference rooms, and copiers.
  • Initiates cost reduction measures; checks the accuracy of all orders, invoices, and monthly reports.
  • Coordinates and executes training throughout the year such as CPR, workplace violence, fire warden, and new-hire training.
  • Coordinates the needs and services for various internal and external meetings to include ordering food, overseeing set up, supervising deliveries, and coordinating with caterers.
  • Provide oversight of the employee and visitor badging program at the Atlanta facility in partnership with Corporate Security.  Additional security support includes:  escorting vendors and contractors and ensure they comply with First Advantage security policy and work performance requirements; serve as a Atlanta security associate point of contact; assist with clean desk and access audits, floor warden training and evacuation drills, media disposal, and complete a monthly physical security checklist. 
  • Assists the office in the annual purge of records by choosing the document destruction company and facilitating as needed.
  • Manages building access security cards, mechanical keys, and parking spaces; maintains all related records; requests occasional reports to check activity and overall efficiency of security system.
  • Must be able to lift and/or move up to 50 pounds.
 
Position Requirements

Education:

High School Graduate or equivalent; Associate degree preferred

Qualifications:

  • Three years of facilities-related experience
  • Experience reviewing contracts and working with external vendors.
  • Demonstrated ability to work and communicate professionally, verbally, and in written form with staff, building management, and vendors.
  • Ability to interface effectively at all levels of the organization both verbally and in writing.
  • Attention to detail and follow-up is essential.
  • Ability to take the initiative on assigned projects/tasks, manage time effectively, and work with minimal supervision.
