JOB SUMMARY:

We are currently seeking a detail oriented & self-motivated Administrative Assistant for our Albany Office. This is a full time position with hours being Monday to Friday 8AM to 4:30PM.

ESSENTIAL JOB FUNCTIONS:

· Answer phone calls, emails, and voice mails pleasantly and expediently

· Responsible for the purchasing of all marketing materials for assigned vendors

· Responsible for processing all sampling and display orders for assigned vendors. Includes programming of accounts with proper display type and pricing structure assigned by sales team.

· Updates sample & display inventory logs for sales staff to reference

· Prepares inventory close out flyers based off aged inventory reports received during monthly inventory meetings. Includes collecting images of the close out material, formatting flyers and distributing them to customer base, customer service and outside sales staff.

· Support product manager (s) for assigned product categories/vendors.

· . Includes preparing and maintaining all price lists, flyers, communication to the sales staff as well as the customer base regarding changes with the lines (ex. Drops, new introductions, promotional flyers, and price list changes)

· Conduct display audits and track placement for sales team and management

· Maintains company Drop Box with all updated information (ex. Display sell sheets, product information, drop info, data sheets). Works with company marketing coordinator to update social media pages on most current information/featured item or specialty promotion for all assigned vendors.

· New sku set up- facilitate all information to data entry for set up.

· Run and compile reports using Radar, Dancik, Excel, Adobe reader for internal and external customers

· Handles all co/op, display floor and model home requests for assigned vendors. Includes filing paperwork and tracking credits to apply to the orders that it pertains to.

QUALIFICATIONS:

· Microsoft office: Excel, Word & Power Point

· Highly organized

· Strong attention to detail

· Accurate

· Ability to communicate to all different levels of employees
