Talent and Benefits Coordinator

Benefits Administration

  • Administers Russell’s group insurance programs: educates team members regarding benefit options; handles enrollment and verification of coverage; verifies benefit enrollment data and changes in HCM system; reviews payroll deductions and monthly benefit billings for accuracy; processes adjustments as necessary; responds to benefit questions and issues.
  • Develops and maintains benefit communication tools to enhance team member’s understanding of Russell’s benefits package and attract new talent.
  • Administers Russell’s wellness program including scheduling annual wellness testing and vaccination clinics, ensuring participation guidelines are met, makes necessary benefit enrollment plan changes.
  • Administers annual insurance open enrollment; builds open enrollment processes in HCM system; ensures accurate insurance information including rates and plan options are communicated to staff; verifies necessary plan and enrollment changes in vendor software systems; ensures deductions and benefits are correct.
  • Administers COBRA in conjunction with third party administrator. Assists with COBRA questions and information requests.
  • Maintains accurate 1095-C data in HCM system; provides required documentation in a timely manner to team members in accordance with ACA regulations; builds year-end data processing in HCM system; transmits required reporting data to IRS.

Team Member Onboarding & Relations

  • Schedules new team member orientations, administers new team member onboarding and benefits orientation; reviews benefit options available, important company documents, and new hire requirements including tax forms, I-9, direct deposit, 401(K) enrollment and beneficiary designation.
  • Coordinates Russell’s Internship program: identifies intern liaisons, develops annual intern guide, coordinates intern post offer, pre-employment screens and handles housing arrangements. Consults with Russell leadership to provide information for appropriate intern project assignments. Works with Russell Intern Liaisons to coordinate internship assignments and events. Conducts intern exit interviews.
  • Partners and consults with Russell leadership to advise of policies and best practices in team member relations.
  • Conducts team member exit interviews.

Recruitment and Selection

  • Monitors and utilizes applicant tracking system to track online applications and conduct recruitment; maintains and updates data as necessary.
  • Plans, coordinates, and implements recruitment and selection processes in consultation with hiring managers for Core Services positions; screens employment applications to evaluate applicant qualifications, performs phone screens, coordinates interviews, conducts reference checks. Participates in interviews. Prepares offer letters for hiring managers. Ensures candidate post offer, pre-hire screens are conducted.

Professional Development

  • Administers and maintains Russell’s Learning Management System; performs user updates and revisions, maintains team member training hours, sets up classes for enrollment and reporting.

Compliance and Reporting

  • Coordinates and monitors Russell’s HCM software and assures compliance with benefits carriers, all reporting requirements, and accurate data maintenance. Assists with researching, testing, building, and implementing projects such as benefits open enrollment, carrier feeds and required compliance reporting.
  • Maintains Russell’s Affirmative Action Plan. Compiles statistics and analyzes data; prepares EEO and Vets reports.
  • Administers and monitors team member FMLA absences; prepares paperwork and provides information regarding rights and responsibilities; works with managers and supervisors regarding team member status and return to work information.
  • Develops and revises job descriptions to include functions, reporting relationships, job requirements, essential skills, and physical and mental ability requirements.
  • May draft human resources policies, procedures and oversee their implementation.
  • Maintains unemployment claim files and may represent Russell in unemployment fact-findings and appeals.
  • Coordinates departmental records retention program; maintains all department files for active and inactive team member files; determines dates for destruction of records in accordance with State and Federal regulations.
  • Performs other duties as assigned.
 
Position Requirements

Education, Training, and Experience:

Bachelor’s degree in Human Resources, Organizational Development, or related field preferred and 5 years of experience in human resources and/or benefits administration; OR an equivalent combination of education, training, and experience. Experience in Architecture, Engineering and Construction industry helpful.

Knowledge:

  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements including ERISA, COBRA, FMLA, ADA, Section 125, Medicare and DOL requirements.
  • HIPPA compliance requirements.
  • Broad experience in multiple HR functions.
  • Principles and practices of benefits administration, recruitment and selection, employee onboarding and retention.
  • Records maintenance and retention policies, procedures, and practices.

Required Skills and Competencies:

  • Strong analytical skills and solid knowledge of benefit plan designs.
  • Ability to understand, evaluate and make decisions with sound judgment.
  • Strong organizational skills with ability to shift priorities to meet changing demands.
  • Attention to detail and accuracy.
  • Ability to maintain the highly confidential nature of sensitive human resources matters.
  • Interacting tactfully and professionally with internal and external customers and the public.
  • Exceptional communication skills. Ability to effectively communicate verbally and in writing with benefits brokers, insurance companies and team members.
  • Proven ability to work effectively in a team environment.
  • Ability to manage several projects simultaneously while working under pressure to meet deadlines.
  • Ability to analyze data and prepare clear and concise reports.
  • Maintaining accurate records, databases and filing systems.
  • Computer proficiency and technical aptitude with the ability to use Microsoft products including Excel (intermediate level).
  • Experience with HRIS / HRMS / HCM and benefit databases helpful.
