Job summary

Under the direction of the Director of Environmental Services, assist in coordinating all Environmental Services Department operations.

Essential duties and responsibilities: Include the following: other duties may be assigned.

Orders supplies for maintenance and capital improvement projects.

Enters work orders into the maintenance management software (the Worx Hub). Assists with the ongoing updates of the maintenance management software and assists staff with entering data. Tracks preventative maintenance tasks and schedules them to be performed.

Assists Director of Environmental Services with Scheduling and coordinating of outside contractors and vendors performing work on the campus.

Assists Director of Environmental Services with Scheduling Safety committee meetings and participates in all Safety committee meetings.

Prepares schedules and ships all E-Waste (light bulbs batteries, etc.). Also maintains documentation.

Assists Director of Environmental Services in scheduling appointments and returning phone calls.

Schedules and coordinates safety training for all departments in Environmental Services and maintains required training documentation.

Takes all calls for Maintenance request including from 2222 line and enters in Worx Hub.

Assists in preparing and maintaining necessary and required department records, logs and reports.

Prepares Memos to Residents for Capital Project purposes and work performed.

Schedules maintenance work orders for Capital projects.

Offers outside assistance to maintenance workers such as opening doors, working with Comcast, etc.

Processes incoming and outgoing mail and packages.

Tracks Bingo game process, pulling numbers and posting them on the bulletin board.

Prepares and completes Cal-Am Water rebate forms for Residents.

Prepares and completes spreadsheets for tracking PSTS pumping amounts used by Capital projects.

Research and plots EAP's on campus map for phone directory and site map for Capital.

Research Blueprints based on requested Data for Admin purposes.

Prepares brochures to be utilized for new residents' orientation.

Assists Director of Environmental Services with department meeting agendas for Grounds and Maintenance by preparing documents and typing the minutes.

Assists with reconciliation of monthly Amazon account if necessary.

Processes access keys for Residents and staff in Eddies absence.

Accounts for all Manor departments' inspections and data records.

Assigns parking passes to Contractors.

Researches and orders the Supplies.

Dispatches work-orders to Housekeeping.

Keeps Morrison radio for necessary communications.

Inputs check status updates for the pool when necessary.

Maintains positive relationships with residents, community staff and vendors.

Qualifications (Education and/or Experience):

Must be able to read, write, speak, and understand the English language and present oral and written instructions.

Bilingual in English and Spanish is a plus.

Individual must be able to perform each essential duty satisfactorily.

Demonstrate ability to communicate effectively in written and oral presentations.

Ability to multi-task and establish priorities. Strong organizational skills required.

Exhibits initiative, responsibility, flexibility, and leadership.

Proficient in the use of Windows Microsoft based office software: Word, Excel & Outlook.

Must possess the ability to make independent decisions when circumstances warrant such action.

Must possess the ability to deal tactfully and work harmoniously with department heads, personnel, residents, family members, visitors, government agencies/personnel and public.

While performing the duties of this job, the employee is regularly required to talk, hear and see. Specific vision abilities required by this job include close vision, distance vision, color vision, and peripheral vision. The employee must be able to move intermittently throughout the workday. The employee stands, walks, stoops, kneels, bends, and climbs inside and outside of buildings.

Must be able to lift to 45lbs.

Working conditions

Must be in good general health and demonstrate emotional stability to be able to cope with the mental and emotional stress relating to and working with ill, disabled, elderly, emotionally upset and at times, hostile people within the facility.

Individual must work overtime, be on-call 24/7 and work weekends and holidays as needed
