Description

The candidate chosen for this role will be extremely organized, and detail-oriented. This person will be responsible for assisting with building bid packets, Certificates of Insurance, Bonds, and Licenses for work orders on the city, county, and state levels. The candidate in this role will as well assist with preparation for delivery of contracts during negotiations and at final terms, as well as bids during the negotiation and moving into final terms. This individual will be skilled in Excel and be a top-notch communicator both in written and oral form.

 
Position Requirements

  • Compile Bid and Contract packets for review based on already established terms
  • Weekly tracking of permits and licenses, expirations of those permits/licenses, and giving notice to the responsible parties for those expirations. 
  • Interfaces and provides support to the operations teams for needed completion dates, and updates to licenses, permits, and deadlines in the bid/contract process.
  • Obtain and understand Certificates of Insurance
  • Assist with obtaining and navigating licenses on a city, county, and state level
  • Organize and maintain a system of digital records
  • Track and assist with bonds and existing contracts 
  • Assist with the creation and delivery of any new contract standards as needed
  • Ability to conduct formal meetings and make group/executive presentations and/or conduct training sessions 
  • Must possess the ability to manage multiple projects and provide guidance to Engineering, Power, Operations, and other Construction teams
  • Ability to articulate and communicate terms and conditions of a contract to internal and external parties
  • Ability to coordinate and work with multiple departments at a fast pace to ensure contract accuracy and speed to completion
  • Complete other duties assigned as this is a growing role within Accounting/Finance

 

Candidate Requirements

  • AA in a related field or equivalent experience in the field
  • Ability to work with all levels of staff internal and external
  • Knowledge of legal terminology
  • Understanding of Accounting practices
  • Advanced Excel (VLOOKUP, HLOOKUP, FILL SERIES, WHAT IF, PIVOT TABLE) 
  • Excellent written and oral communication
  • Ability to work in a confidential environment
  • Ability to work within tight deadlines
  • Preferred system experience: BidMaster, Vista, Sharepoint, Municipality Systems, Microsoft Suite
