The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active ‘partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to both the Events and Group Sales Manager, you will work in conjunction to provide administrative and supplemental support for special events in our museum and theaters. This is a perfect opportunity for a driven individual who is enthusiastically committed to learning and growing in their hospitality, special events, and tour & travel career.

This is a temporary, full-time position through June 2022.

You Will:

  • Respond directly to all event inquiries for filming, corporate and non-profit organization leads. 
  • Create event layouts with the help from the events team.
  • Respond to Group Sales inquiries.
  • Be an administrator for the Group Reservations Line.
  • Make Group Reservations.
  • Work with the Sales Managers to service administrative tasks.
  • Work with the Accounting Department to process event and group billing.
  • Schedule and lead site tours for the events and group sales team.
  • Assist the sales team with creating proposals and contracts.
  • Liaise with other departments in ensuring group visits, tours, and events are executed flawlessly.
  • Follow up and provide evaluation tools with sales customers to ensure satisfaction.
  • Assist with Group Sales billing and payments.
 
Position Requirements

You Have:

  • A bachelor’s degree preferred.
  • 3+ years’ experience in events servicing/sales/operations at a large, upscale, and fast-paced environment.
  • Experience working for a museum or non-profit organization preferred.
  • A keen eye to detail and a sense of urgency.
  • Experience communicating effectively and clearly both verbally and in writing.
  • Ability to interface with wide range of constituent clients.
  • Experience using Salesforce, Social Tables, and Airtable preferred.
  • A commitment to diversity, equity, accessibility, and inclusion.
  • Bilingual/multilingual is a plus.

 

Physical Requirements:

  • Ability to work extended periods of time at computer workstation.
  • Visual acuity for data entry, review of sales orders, contracts, and invoices.
  • Ability to move or lift up to 25 pounds for presentation set ups.
  • Walking and standing for up to 2 hours for gallery tours and events.
