Senior Administrative Assistant  


Job summary

  • Assists and supports the Senior Vice President, management and divisions
  • Coordinates assignees’ schedule and makes appointments. 
  • Manage information flow in a timely and accurate manner.
  • Composes and types routine correspondence, as well prepares outgoing mail, including emails and faxes. Collects and routes incoming mail and makes copies of correspondence or other printed materials needed for the division
  • Answers and screens telephone calls, and arranges conference meetings/calls.
  • Engages in program-related performance improvement processes and activities, such as generating reports to ensure staff are complying with documentation standards and quantity/quality measures
  • Attends, coordinates, and arranges meetings, prepares agendas, reserves and prepares facilities, record meeting minutes
  • Greets scheduled visitors and conducts to appropriate area or person.
  • Arranges and coordinates travel schedules and reservations including conferences or trainings.
  • Plans and directs development and communication of information designed to keep staff informed regarding EM’s and division projects.
  • Prepares and maintains financial spreadsheets and reports for programs in the division
  • Orders and maintains office supplies, inventory, office signs/displays in the office
  • Assists in managing on-call manager rotation. Acts as a central hub for division credit card.
Position Requirements


  • High school diploma or general education degree (GED)
  • At least two years of administrative experience
  • Excellent organizational and time management skills
  • Effective communication skills
  • Knowledge on MS Excel, Outlook, Word, Teams
  • Exhibits professionalism, uses discretion and keeps confidentiality
  • Has problem solving skills
  • A valid driver’s license and must be insurable by agency’s automobile
