The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the Senior Director of Curatorial Affairs, the Curatorial Coordinator will provide administrative and organizational support to the Senior Director and Curatorial Department. We are seeking a well-organized, collaborative team member who can anticipate the needs of the department and ensure an efficient work environment.

This is a Temporary, Full-Time position through June 2022.

You Will:

  • Schedule, manage calendar, and other administrative duties.
  • Manage all office functions, including greeting guests, reception support, booking meetings, tour preparation and clean-up; replying to phone, mail, or email requests; processing invoices and expense reimbursements, ordering office supplies, and maintaining organized financial records.
  • Respond to inquiries, and serve as liaison to other museum departments, along with outside institutional partners, filmmakers, and artists.
  • Research and coordinate travel bookings for the Curatorial Department.
  • Ensure and maintain efficiency of department files, organization, and processes.
  • Organize submissions to the Museum’s archive.
  • Assist the Curatorial Department with preparing presentations, and work with other assistants to provide administrative and organizational support.
  • Support the Curatorial team with data entry.
  • Prepare, proofread, and edit a variety of documents for accuracy, proper formatting, and grammar to ensure excellent output.
  • Work independently and cooperatively with staff while maintaining a positive attitude in a fast-paced, high-pressure environment.
 
Position Requirements

You Have:

  • A bachelor’s degree or other equivalent administrative education.
  • 3+ years of experience working in a professional office environment, preferrable in an administrative role supporting one or more leaders.
  • Experience communicating effectively and clearly both verbally and in writing.
  • The capacity to work quickly and efficiently under high-pressure situations and a keen eye to organizing data.
  • Proficiency in Microsoft Office Suite applications (Outlook, Word, Excel, PowerPoint,
  • Ability to take direction and ask questions when needed while multitasking and prioritizing to meet deadlines.
  • A high level of maturity and discretion in handling confidential information.
