The Bookkeeper performs a variety of accounting and budgeting functions and activities. The incumbent is highly organized, detail oriented, self-motivated, and able to manage multiple assignments, and internal and external relationships to ensure accurate and timely outputs. As a team member of our nonprofit organization, the incumbent advocates for Casey Trees’ mission and in particular, the motto: connecting people to trees, through trees, and to Casey Trees.
Accounts Payable Functions (45%)
- Performs accounts payable functions across the organization, including, but not limited to: coding invoices and routing for approval (requires use of spreadsheets to track internal codes); reconciling monthly credit cards and tracking receipts; cutting checks; and processing staff reimbursements
- Acts as system administrator for the organization’s Bill.com and Tallie accounts
- Maintains vendor files across multiple systems, including electronic payment preferences, collecting W-9’s and COI’s, and assisting with distribution of 1099s
- Trains new staff on software systems and policies for invoice approval and expense reimbursements
Accounts Receivable Functions (40%)
- Performs accounts receivable activities including, but not limited to: reconciling monthly donations and online merchandise sales and posting to general ledger, entering deposits into QuickBooks, and utilizing remote scanner to deposit checks
- Tracks and reconciles fee-for-service invoices between Salesforce and QuickBooks
- Assists Business Manager with government/foundation invoicing, when required by donors
Administrative Functions (15%)
- Assist Business Manager in providing accurate and timely outputs including, but not limited to: insurance claims, month-end closing, annual budget, annual audit, benefit renewals, etc.
- Assists with document retention and storage, especially contracts database management
- Assists the Administrative Department with managing the life-cycle of all grants for the organization, including creating and tracking grant-specific financial codes and the effective dates for each
- Performs a variety of administrative tasks including, but not limited to, answering phones and greeting guests
- Performs other duties as assigned
Supervisory Responsibilities
The incumbent will not have any direct reports.
Working Conditions
The incumbent works primarily in an office setting and must be able to use equipment such as (not an exclusive list):
- Computer, tablets, smartphones, printer/copier, remote desktop scanner, and telephone.
Physical Demands:
- While this is primarily a desk job, all CT employees may engage in tree planting/related activities in outdoor environments, year-round in the heat, cold and inclement weather. - While performing the duties of this job, the incumbent is regularly required to talk, hear, stand; walk; use hands to handle or feel; and reach with hands and arms. The incumbent is occasionally required to lift and/or move up to 25 pounds, lift files, open filing cabinets, bend or stand on a stool, etc.
Position Type/Expected Hours of Work
This is a fulltime, nonexempt position, averaging 40 hours a week. The incumbent must be able and willing to work evenings, weekends, and extended hours when needed.
Travel
Travel is primarily local, although some out of the area travel and overnights may be expected.
