Coordinator, Records Management 


The Coordinator, Records Management will assist the Records Manager with the backlog of Academy hardcopy/digital records and materials stored at the Hollywood office in the vault and contribute to the implementation strategies associated with the Academy Records Retention and Procedures Policy.


  • Organize paper records, binders, place into storage boxes, and prepare a listing of boxed records to be archived with other boxes in storage.
  • Comply with project timelines and facilitate the orderly transfer and disposition of various project-related and business records.
  • Maintain integrity of the vault and of the records inventory, maximizing the use of office and vault storage space.
  • Provide general assistance to the Records Manager regarding the Academy-wide Email Management Policy.
  • Assist in developing strategies for implementation of future retention policies.
  • Communicate with departments in response to records research inquiries and provide quick and efficient retrieval of stored materials upon request.
  • Adhere to and utilize records guidelines on processing, inventorying, cataloging, transferring, and retrieving stored records.
Position Requirements
  • Administrative experience with demonstrated knowledge of record-keeping practices.
  • Experience in dealing with sensitive documents/information in a consistent and confidential manner.
  • Proficiency in MS Office.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent organization, time management, and attention to detail.
  • Ability to lift and/or move binders, files, and boxed records.
