Description

SUMMARY

Under the supervision of the Accounts Receivable & Collections Manager, the Billing Supervisor is responsible for the management of the billing team and the billing process.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Prepares and processes timely and accurate accounts receivable invoices for T&M, Cost-Plus, and quoted contracts.
  • Responsible for the daily supervision of two or more employees, including hiring, onboarding, managing work schedules, counseling, coaching, training, and employee development. Also acting as a liaison between the billing team members and management.
  • Ensures completeness, accuracy, and compliance of billing with Standard Operating Procedures and Best Practices. Identifies and assists in addressing errors and other issues discovered.
  • Coordinates with the service and dispatch team to improve processes associated with gathering and passing data required to create billings that meet customer expectations and minimize disputes and potential payment delays.
  • Reviews, processes, prints, mails and e-mails customer invoices and statements.
  • Research and respond to customer's questions and concerns in a thorough, considerate, and timely manner; all while exercising discretion and professional judgement.
  • Contacts past due accounts to verify payment intentions and identify and attempt to correct any potential issues that may delay collections.
  • Maintains customer information and contact logs in accounting software.
  • Supports Management by providing timely and accurate payment and account standing information, including updating activity reports to Operating Groups, and proactively escalates billing issues to management.
  • Assists in developing policies and procedures, including updating the billing procedure manual. Also monitors adherence to internal procedures and continuously evaluates current policies and procedures, providing recommendations for process improvements.

SUPERVISORY RESPONSIBILITIES

Responsible for supervision and guidance of two billing staff members.

EDUCATION and/or EXPERIENCE

  • Minimum of three (3) years billing and supervisory experience in commercial billing activities. BA/BS Degree in Finance/Accounting or a commensurate level of directly related experience
  • Well-developed analytic and problem-solving skills
  • Highly developed communication and interpersonal skills
  • Highly organized with ability to manage multiple priorities and deliver assignments on time
  • Excellent listening, written and verbal communication skills
  • Successful in dealing with customer and company personnel at all levels
  • High degree of integrity including ability to successfully deal with sensitive or confidential information
  • Ability to exhibit poise, composure and confidence when confronting stressful or high-pressure situations
  • Exhibits a strong commitment to dependability and reliability with the ability to gain the confidence and respect of customers
  • Hands on, self starting, disciplined, and detail-oriented individual with ability to work independently in a high-volume environment that requires a work product that is highly accurate and timely
  • Demonstrates knowledge and understanding of proper accounting treatment for accounts receivable transactions and activities

LANGUAGE SKILLS

Extremely important to this position is the ability to communicate effectively in person, on the telephone, and in writing with customers and in-house personnel. Must be able to read, write and speak English fluently.

MATHEMATICAL SKILLS

Ability to calculate Subtraction, Addition, Multiplication, Division and amounts such as discounts, interest, commissions, proportions, and percentages.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES

Must be experienced in and able to demonstrate proficiency with computerized billing and accounts receivable software applications. High degree of proficiency with Microsoft Office software (Excel, Word)

Specific vision abilities required by this job include close vision, distance vision, color vision, and the ability to adjust focus.
