Position Summary:

The Leisure Sales Coordinator will ensure leisure guests receive exclusive tailored experiences at the established Edgewood high standards. The Coordinator will assist the Director of Leisure Sales with travel schedule, administrative needs and special projects. This role will also act as a resource to the overall operations of the lodge by providing assistance and direction as needed. Key essential functions include: Maintaining Global Distribution Systems, communicating upcoming arrivals, proper and timely billing, reporting, assisting in booking client reservations and preparing and conducting site tours. These key functions set the stage for the rest of the operations team and build relationships with guests that ensure their return to our property for future stays.

Essential Functions:
Job duties include; although are not limited to:

  • Performing clerical duties such as typing, filing, copying, emailing, answering and responding to emails, telephone calls and messages
  • Responding to client and guest requests, questions, and concerns
  • Act as a hotel ambassador to both guests and hotel departments
  • Coordinate and conduct client site tours as needed
  • Coordinate and maintain vendor/supplier information
  • Organize and maintain client listings, client lists, and both external & internal communication
  • Assist with preparation for VIP arrivals, including guest recognition
  • Support leisure sales programs and promotions
  • Order office supplies and ensuring that the department is adequately stocked
  • Expense reporting, invoicing, and procurement
  • Run departmental reports including month end, quarterly, and year-end
  • Supporting the sales department with special projects as needed
  • Facilitating resolution when possible or referring individuals to the appropriate manager
Position Requirements

Qualifications / Special Skills:

  • Previous front desk, reservations and/or concierge experience in a luxury environment preferred
  • Previous Property Management System experience preferred
  • Ability to be persuasive with telephone sales skills
  • Ability to build effective relationships to ensure quality working relationships with all departments
  • General knowledge of the surrounding areas and attractions
  • Must be able to focus attention on guest needs, remaining calm and courteous at all times.
  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Requires good communication skills, both verbal and written.
  • Must possess proficient computer skills.
  • Highly organized, results-oriented with the ability to be flexible and work well under pressure
  • Must be able to work mornings, evenings, holidays and weekends

Other General Job Function:

  • Must be able to deal with a high volume of incoming email & telephone communications
  • Assist with special projects as needed
  • Maintain filing systems, maintain schedules in terms of appointments, travel and meetings, acting as a liaison with departments when necessary and maintain a professional environment.
  • Although this is a M-F schedule, flexible scheduling is a plus to accommodate peak season demands


  • High School Diploma or equivalent is required, Bachelor’s Degree preferred
  • Two (2) plus years’ experience in an administrative role within an upscale hotel, or similar hospitality operations experience
  • Strong customer service skills
  • Excellent verbal and written communication skills required
  • Must have intermediate skills with Microsoft Office products; Word, Excel, PowerPoint, and Outlook, Opera experience is a plus
