Job Summary

The Medical Receptionist provides assistance to patients, doctors, office employees, and other individuals. The Medical Receptionist helps the clinic run smoothly by scheduling appointments, greeting and checking in patients, answering phones, processing paperwork, and other tasks as needed. The Medical Receptionist will also help keep our work areas clean and organized, as well as ensure our office provides a welcoming environment for our patients. May be required to work varying shift to accommodate business needs. All duties and responsibilities will be performed in accordance with the Yellowhawk Mission and Vision statements.

Essential Job Functions:

  1. Provides excellent customer service to everyone.
  2. Works independently and as a team player with all co-workers.
  3. Answer telephones and responds to inquiries in a timely manner.
  4. Outstanding professional phone management skills: manages a multiline telephone system efficiently and politely, minimizing hold time.
  5. Directs caller to the appropriate personnel or initiate a triage message for response by medical personnel.
  6. Communicates appropriately with patients, coworkers, and physician offices and any other individuals as necessary to perform essential job functions.
  7. Schedules appointments according to office guidelines quickly, efficiently, and accurately.
  8. Updates patient demographics as needed.
  9. Conducts all functions associated with patient check-out including scheduling follow-up appointments.
  10. Confirms next day appointments and reviews Audio Care reminders.
  11. Answer patient questions and provides assistance when necessary.
  12. Protects patients’ right of confidentiality; mandatory familiarity with HIPAA.
  13. Follow up with patients regarding the Missed Appointment Policy and send out the appropriate communications.
  14. Manage inventory of necessary office supplies and coordinate reordering.
  15. Perform other duties as assigned.
 
Position Requirements

Minimum Qualifications

  1. High School Diploma or Equivalent.
  2. Administrative, office, and/or prior healthcare administration background.
  3. Demonstrated ability to maintain strict confidentiality.
  4. Demonstrated excellent customer service skills.
  5. Intermediate MS Office experience required (Outlook, Excel, Word, PowerPoint, etc.)
  6. Demonstrated communication skills, i.e., verbal and written.
  7. Demonstrated ability to multi-task while maintaining a high level of organization and attention to detail.
  8. Must submit to and pass a reference and criminal background check.
  9. Must submit to and pass a pre-employment drug and alcohol screening.

Preferred Qualifications

  1. Associate’s degree in Office Administration or related field.
  2. One year administrative assistance, general office experience, or prior healthcare administration background.
  3. Understanding of basic healthcare terminology.
  4. Electronic medical record experience.
