Qualifications Required

  • Minimum two year degree or 2 years of experience in human resources, benefits, payroll and accounts payable.
  • Excellent computer skills
  • Must be able to maintain confidentiality
  • Must be able to relate and communicate with employees and applicants of all ages
  • Must be able to work independently
  • Must be English literate and possess strong written and verbal communication skills

 

Qualifications Preferred

  • Knowledge of a Human Resources Information system (HRIS)
  • Knowledge of the healthcare industry

Essential Functions of the Job, Departmental expectations

Essential Functions of the Job and Departmental Expectations -

Human Resources:

  1. Recruitment: posting job openings (internal/external), interviewing (facilitating the interview process with hiring supervisors), reference checks, criminal background check process, extending offers.
  2. Orientation: new hire employment orientation (HR/PR/Benefits) and general information related to the facility.
  3. Policy and Procedures: train supervisors on policies and procedures, answer employee questions.
  4. Maintain employee personnel and medical files.
  5. Administer FMLA and other leave of absence requests.
  6. Manage the job descriptions process to ensure all employees have a job description on file and updates as need be.
  7. Performance review program administration: ensure all reviews are completed annually for employees.
  8. Support supervisors in the corrective action process; counseling and/or participates in employee corrective action meetings. Works with the Administrator to complete investigations of employee complaints.
  9. Administer the termination process of employees.
  10. Generate reports and responds to special requests pertaining to HR.
  11. Ensure facility compliance with federal and state requirements and regulations pertaining to HR/employment. Manage and maintain federal and state required employment law postings.
  12. Affirmative Action: maintain the AA documentation within compliance, auditing HRIS system for any missing information.
  13. Manage the workers’ compensation program; filing first report of injury, working with carriers on return to work situations, participates on claims reviews, etc.
  14. Completes all other duties as assigned.

 

Benefits:

  1. Benefit administration: conduct and communicate new hire benefit orientations and annual employee benefit meetings, process enrollment forms/changes, update HRIS benefit records, (Corporate manages the renewal process, plan design changes and vendor relationships).
  2. Serve as a point of contact for employee benefits questions.
  3. Maintain employee benefit files.
  4. Audit and perform benefit reconciliations on a bi-weekly, monthly, quarterly, etc., as well as generating applicable reports.
  5. Administer paid leave plans (PTO/vacation, etc.).
  6. Manage and administer facility sponsored benefit plans.
  7. Comply with state and federal requirements and regulations (Corporate completes 5500 reporting and benefit plan testing for member organizations).
  8. Comply with and administer programs according to benefit plan documents and HIPAA regulations.
  9. Work collaboratively with corporate on audit requests, data integrity, compliance issues, and benefit administration.
  10. Completes all other duties as assigned.

 

Payroll:

  1. Responsible for preparing, auditing and distributing confidential payroll information.
  2. Maintain all payroll information (including employee payroll files) and retains records according to federal and state requirements.
  3. Ensure facility compliance with federal and state requirements and regulations.
  4. Ensure all pay practices administered according to policy.
  5. Generate/file reports and responds to specials requests pertaining to Payroll.
  6. Maintain time and attendance system.
  7. Completes all other duties as assigned.

 

Accounts Payable:

  1. Reviews all invoices for appropriate documentation and compares withholdings from payroll system reports prior to payment.
  2. Prints and obtains signatures on all accounts payable checks.
  3. Distributes signed checks as required.
  4. Acts as liaison between corporate and facility accounts payable departments.
  5. Reconciles Accounts Payable system and General Ledger system, monthly.
  6. Answers all vendor inquiries.
  7. Maintains all accounts payable reports, spreadsheets and corporate accounts payable files.
  8. Assists in monthly closings.
  9. Prepares analysis of accounts, as required.
  10. Performs filing and copying.
