The Hospitality & Travel Coordinator is responsible for coordinating the hospitality arrangements for invited guests to Faith Comes By Hearing and making accurate, cost-effective domestic travel arrangements for all FCBH employees within ministry guidelines, while demonstrating excellent customer service. The main duties are to 1.) Coordinate hospitality with departments for invited guests to the ministry by booking rooms at Beulah, ensure airport pickup, and meals are arranged, and 2.) Mapping out travel arrangements for all ministry domestic travelers. This includes booking flights, arranging transportation to and from locations, and arranging accommodations at their destinations.

Responsibilities include:

Hospitality Coordination:

  1. Schedules rooms for all guests at Beulah retreat center, including donors and high level ministry partners, as well as non-FCBH guests (missionaries, group retreats, etc.). Requires constant monitoring of room availability, communications with guests and Jackson family, and ability to respond quickly to frequent changes.
  2. Ensures coordination of airport pick-up and meals with the hospitality specialist from the department hosting the visitors.
  3. Coordinates detailed schedules for invited guests with hospitality specialist in hosting departments, providing names, titles, and contact details with a copy to the Jacksons indicating all Beulah scheduling.
  4. Provides names and titles of guest to receptionist for welcome signs and name tags for guests; provides Wi-Fi Internet access codes for guests.
  5. Maintains inventory of all hospitality supplies and equipment for all conference rooms, including ordering and stocking of drinks/condiments/plastic and paper goods, as well as purchases of most non-food items connected with ministry hospitality.
  6. Performs general hospitality tasks for ministry guests per Faith Comes By Hearing’s Hospitality Handbook.


Domestic Travel duties:

  1. Obtain pertinent information from each traveler to create profile, plan itinerary, purchase tickets and reserve appropriate accommodations.
  2. Researches, purchases, and arranges all aspects of domestic travel including flights, ground transportation, and accommodations in collaboration with traveler while adhering to travel policies and procedures. Any exceptions are approved by the CFO.
  3. Limits the liability of ministry travel losses and keeps schedule disruptions to a minimum with good planning, sound judgement, and applied knowledge of industry standards for layovers.
  4. Observes safety procedures and protocols to ensure travelers’ well-being in accommodations and travel schedules.
  5. Arranges complex and detailed travel itineraries and compiles relevant documents for travel and meetings at destinations.
  6. Creates a travel packet for each traveler detailing all aspects of their trip itinerary including reservations, contact information, and any other necessary documentation.
  7. Supports travelers (both employees and guests) by checking them in and providing boarding passes for their flights during normal business hours.
  8. Provides back up to Senior Travel Coordinator when needed.
  9. Performs general clerical duties including filing and entering travel data into spreadsheets.
  10. Cross-trained in Data Entry/Donation Processing assisting in times of high volume and end of period activity.
  11. Ability to adjust work schedule accordingly due to situational demands from events and guest travel itineraries that may cause the work schedule to vary off the normal work hours (Example Vision and Chosen Events).
Position Requirements


  1. Demonstrated excellence in domestic travel planning, time management, and organizational skills.
  2. Ability to evaluate information to determine compliance within standards (i.e. layover or safety standards).
  3. Ability to focus in open office setting with a high attention to details.
  4. Problem solving ability in pressured situations.
  5. Excellent collaboration skills.
  6. Proven ability in communication, both orally and in writing.
  7. Ability to perform mathematical calculations accurately and quickly.
  8. Demonstrated service orientation by actively looking for ways to help people within guidelines.
  9. Ability to maintain composure, even in very difficult situations. This role requires accepting criticism and dealing calmly and effectively with high stress situations.
  10. Strong interpersonal skills and ability to coordinate with senior leaders, often coordinating domestic travel schedules of multiple leaders who will be traveling together.
  11. Demonstrated dependability shown by being reliable, responsible, and fulfilling obligations.
  12. Able to meet strict deadlines by using organizational skills and multitasking in a high-stress, fast-paced environment.
  13. Above reproach in ethical conduct.
  14. Able to maintain high-level confidentiality with discernment.
  15. Trustworthy with large purchases and personal/financial information.
  16. Skilled in Excel and Internet Search Programs, along with exceptional computer skills and understanding and working knowledge of various travel booking and travel vendor websites.
  17. High School Diploma or GED equivalency.
  18. One + years’ experience in travel coordination.


  1. Associates degree.
  2. Experience with a non-profit ministry, a plus.
  3. Experience in the hospitality industry a plus.
